Position Description
One (1) Permanent-Exempt, full-time, school-term-only ( STO ) (220 working days per year), position. Exempt employees are considered “at will” and serve at the discretion of the appointing officer. A School-Term Only ( STO ) employee is hired for a specific calendar and may not have an assignment during the school/academic breaks.
This position is grant-funded and funded on a yearly basis. Hours are subject to change after appointment dependent upon grant status.
Under the direction of the Student Activities Administration, the 1840 Junior Management Assistant will be responsible for the programs operations, coordination, and support services to Lesbian, Gay, bisexual, transgender, questioning, intersex, asexual ( LGBTQIA ) students; supports the mission and function of the Queer Resource Center ( QRC ). Essential functions are managing/coordinating the daily operations of the office, serves as a resource for information and processes that support the academic success and retention of LGBTQIA students; conducts outreach and education on campus; makes referrals; helps maintain the office’s physical space. The 1840 Junior Management Assistant will also serve as a liaison between the faculty and staff, college departments and outside agencies; responsible for implementing state mandated requirements, fulfilling student equity goals of closing the opportunity gap among LGBTQIA students, and facilitating education access, success, retention, and graduation. This position may require working evenings and/or weekends as needed by the office during operation hours to serve students.
Job Duties
1. Manage the daily operations of the QRC . Provide assistance to LGBTQIA students in receiving direct student support to available resources. 2. Coordinate and provide services through the QRC in a confidential manner to prospective and current LGBTQIA , minoritized, low income college students, and students experiencing academic difficulty. Demonstrate sensitivity to the unique needs LGBTQIA students to create a welcoming atmosphere. 3. Provide information and assistance to students; assists with student application, enrollment processes and resource referrals. 4. Provide student leadership development; refers students to academic, and student support services within the institution. 5. Provide administrative support related to the operations of the QRC . Under the supervision of the Dean, the position will coordinate clerical & technical support activities such as data processing, inventory control, distributing reports, purchasing, and creating requisitions. Coordinate building security, maintenance, and facilities management. 6. Assist in the outreach and recruitment of LGBTQIA students. Develop and maintain web pages, outreach materials, and social media accounts. 7. Schedule Academic Counseling appointments for QRC students and provide referrals to various campus resources and services. 8. Point of contact to facilitate/resolve student issues which may arise in any of the functions/areas of the office. Recommends solutions to efficiently resolve problems that may occur during the working day as it pertains to the QRC . 9. Ability to maintain confidentiality and to assist economically minoritized, racial and culturally diverse students to meet their educational and career goals. 10. Gather data, maintains databases, and prepare reports related to LBGTQIA students. 11.Monitor expenditure and maintain budget within organizational goals and projections. 12. Assist in the preparation of fiscal reports by monitoring expenditures and maintaining budget within the organizational goals and projections; reconciling accounts to ensure compliance with District and departmental policies, rules and regulations. Gather, compile and analyze program data using banner, spreadsheets, various word processing applications, and statistical techniques to conduct surveys, needs assessments, evaluation reports, etc. 13. Lead QRC yearly strategic planning process to develop programs goals and objectives. Hire, train, mentor, and supervise student workers and volunteers, including assigning tasks and evaluating performance. 14. Collect and process timesheets from personnel and prepare other payroll records as necessary to meet deadlines. 15. Actively participate in implementing new technology, update procedure manuals and evaluate outcomes. 16. Maintain, collect, and analyze data to assist with the development of Student Learning Outcomes and annual program review. 17. Perform related duties and responsibilities as assigned.
Minimum Qualifications
Possession of a baccalaureate degree from an accredited college or university with major coursework in public or business administration, accounting, finance, economics, social sciences, education, or related field, or other areas closely related to specific department program or function.
Substitution: May substitute up to two (2) years of the required education with additional qualifying experience in program/office/operations management, budget development and/or administration, or contract/grant administration. One year (2000 hours) of additional qualifying experience will be considered equivalent to 30 semester units/45 quarter units.
Note: Work experience with the District as a College Work Study ( CWS ) student or Lab Aide (3591) will not be considered or applied as qualifying experience.
Desirable Qualifications
1. One or more years of increasingly responsible administrative support or coordination experience in higher education setting. 2. Experience working in Community College programs or settings supporting students. 3. Earned Master’s Degree in counseling, rehabilitation, clinical or counseling psychology, guidance counseling, educational counseling, social work, or career development from an accredited institution, or equivalent. 4. Knowledge of sexual orientation and gender identity and issues of concern related to lesbian, gay, bisexual, transgender, queer, questioning, intersex, and asexual and the intersection of other identities. 5. Experience working, serving and supporting LGBTQIA students of color. 6. Ability to pay close attention to detail and prioritize work load with frequent interruptions. 7. Self-motivated and experience in prioritizing many different projects simultaneously, with consistent accuracy, follow-through, and timely completion of projects. 8. Demonstrated effective oral and written communication skills. 9. Effective experience in conflict resolution in person, email and/or by phone. Ability to take initiative, problem solve and work independently with good judgment about when to seek direction. 10. Ability to maintain good interpersonal working relationships with a variety of college staff and students. 11. Must be highly proficient in Outlook, Microsoft Office and Google Docs. Ability to utilize current technology and attend to website updates and issues as needed.
Benefits
1. Additional Days Off with Pay. As stipulated in the appropriate bargaining agreements and board resolutions, classified employees working full year (260 days/year) work schedules are granted, as paid days off, the days between Christmas and New Year’s Day, as well as an additional five (5) paid days off during spring break. Eligible school-term-only ( STO ) employees who are not scheduled to work the designated days between Christmas and New Year’s Day shall be granted three (3) paid days off to be scheduled by mutual agreements between the employee and supervisor. Eligible school-term-only ( STO ) employees who are not scheduled to work the days designated as Spring Break will not be paid for these days off.
2. New employees hired on or after October 1, 2013 will contribute 2% of salary to the San Francisco Retiree Health Care Trust Fund ( RHCTF ).
