JOB SUMMARY:
The Division of Surgical Oncology and Endocrine Surgery within the Department of Surgery is seeking a Lead Administrative Assistant. The ideal candidate will have strong communication and project management skills. The candidate should be an independent starter and self-starter needing minimal guidance. The Lead Administrative Assistant will primarily support the Chief of the Division, the Breast Center Director and the Vice Chair for Diversity and Inclusion and Breast Oncology Fellowship Program Director. The Division currently has 16 Faculty and 7 Advanced Practice Practitioners. This job code is for those who need Electronic Medical Records access as part of their role. Serves as a primary resource for daily operations and provides administrative and business support to complex area(s), independently. Serves as a liaison with internal/external groups.

KEY RESPONSIBILITIES:
- Leads and trains Sr. Administrative Assistants
- Ability to problem solve
- Supervise Sr. Administrative Assistants and Surgery Schedulers
- Order and maintain office supplies
- Conflict resolution
- Assist with monthly reconciliation of expenses
- Manage physician outlook calendars
- Assist with clinic templates changes and adjustments
- Submit Provider Time Away and Faculty Time Away
- Assist with VUMC business related travel
- Monitor and pay membership dues and licensure fees
- Assist with faculty recruitment and onbaording
- Performs key administrative functions which may include serving as representative of the organizational area.
- Proactively facilitates and manages administrative functions.
- Supports and coordinates area initiatives.
- Compiles data, analyzes information and summarizes findings in support of an area.
- Analyzes and prepares budgetary data.

High School Diploma or GED (or equivalent experience) and 5 years relevant experience
