Legal Secretary
NATURE OF WORK
Under general supervision, provides administrative support to Assistant Prosecuting Attorneys; completes various clerical duties; maintains files, calendar of appointments and court dates; efficiently and accurately enters application for charges.
ESSENTIAL FUNCTIONS:

Incumbent(s) may not be required to perform all duties listed and may be required to perform additional, position-specific duties.
- Receives and enters applications for charges; enters necessary data into correct computer systems; scans documents; reviews applications to ensure all necessary documents are included, orders additional documents as needed; e-files charges for the attorney and all necessary documents for this case. Inputs data into the computer system to prepare the cases for hearings/trials, etc.
- Answers incoming calls; responds to inquires; redirects the calls to appropriate staff as needed. Provides back up to other staff during absences.
- Establishes and maintains a filing system for active and inactive files; monitors court status; disposes of and closes out case files; prepares Department of Corrections paperwork as needed.
- Analyzes and organizes office procedures concerning the cases, flow of work between Attorneys, Investigators and the Victim Advocates.
- Responds to inquiries from witnesses and victims regarding court appearances and procedures; coordinates appointments and trial schedules.
- Receives and enters payments for bad check cases, restitution and delinquent taxes.
- Prepares in a timely manner discovery on cases; sends this electronically via email; as well as various other documents necessary on the case.
- Sorts through incoming mail daily.
- Performs other duties as assigned to them.
WORKING ENVIRONMENT/ PHYSICAL DEMANDS:
Work is performed in a standard office environment and involves sitting for extended periods of time, standing, walking, bending/reaching, and lifting of objects up to 25 pounds.
EMPLOYMENT STANDARDS
High School diploma and/or GED equivalent; experience as a legal secretary or assistant is desired but not necessary. Salary based on experience.

- Legal terminology, forms, and documents
- Modern office practices and procedures
- Maintaining legal records, files and documents
- Communicating clearly both verbally and in writing
- Preparing various legal documents and correspondence
- Answering of a public phone and communicating properly
- Operating a personal computer and standard office equipment, Knowledge of Microsoft Office
- Establishing and maintaining effective working relationships
