POSITION: Main Office Deputy Clerk
DEPARTMENT: Clerk
SALARY: $1678.04 Bi-weekly

Incumbent serves as Main Office Deputy Clerk for the Tippecanoe County Clerkâs office, responsible for answering telephone and receiving the public, and assisting in processing payments.
DUTIES:
Answers telephone and greets office visitors, providing information and assistance, taking messages or transferring/ directing to appropriate individual or department. Treats visitors with courtesy and respect, remaining calm in difficult situations. Receives and processes various payments mailed or presented in office, including preparing and providing receipts, entering on computer or logs, and balancing drawer for each system, recording and reporting any over/short accounts. Initiates new case files, applying judicial local rules, and pre-determined business rules to decide if parties are already in the database. Updates address, names, and attorney information as needed. Processes bond refund requests after approval by courts, including verifying identity, and applying funds to court costs and fines per order. Issues marriage licenses and provides certified copies, recording ceremony information, and transmitting to state health department. Performs search of court and marriage records as requested, and prepares letters of guardianship or testamentary as requested. Updates court case files by posting sheriff and other service return information, identifying results, and person served, and scanning paperwork. Performs related duties as assigned.
JOB REQUIREMENTS AND DIFFICULTY OF WORK:
High school diploma or GED. Working knowledge of standard office policies and practices and ability to apply such knowledge to a variety of interrelated processes, tasks and operations. Working knowledge of department software and internet based software used by department, including, but not limited to, Odyssey, Docuware, Incite, Isets, Confirm Delivery, SBS Portal, GovePay.net, Quest, Child Support programs, and Microsoft Office. Working knowledge of standard English grammar, spelling and punctuation, and ability to type with speed and accuracy. Ability to properly operate a variety of standard office equipment, including computer, printer, copier, fax machine, and voice mail. Ability to effectively communicate orally and in writing with co-workers, other County departments, attorneys, legal staff, social service agencies and the public, including being sensitive to professional ethics, gender, cultural diversities, and disabilities. Ability to provide public access to or maintain confidentiality of department information and records according to state requirements. Ability to comply with all employer and department policies and work rules, including, but not limited to, attendance, safety, drug-free workplace and personal conduct. Ability to competently serve the public with diplomacy and respect, including occasional encounters with irate/hostile persons. Ability to work on several tasks at the same time and complete assignments effectively amidst frequent distractions and interruptions, often under time pressure. Ability to understand, memorize, retain, and carry out written or oral instructions and present findings in oral or written form. Ability to work effectively in a team environment. Ability to occasionally work evenings.
RESPONSIBILITY:
Incumbent performs standard, recurring duties according to well-established department and legal guidelines, with work priorities primarily determined by service needs of the public and supervisor. Errors in incumbent's work are usually prevented and detected through procedural safeguards, legally defined procedures, and notification from other departments, agencies or the public. Undetected errors may result in loss of time for correction, work delays and/or inconvenience to other agencies or the public.
PERSONAL WORK RELATIONSHIPS:
Incumbent maintains frequent contact with co-workers, other County departments, Bureau of Motor Vehicles, attorneys, legal staff, various social service agencies and the public for the purpose of exchanging information. Incumbent reports directly to Chief Deputy Clerk.
PHYSICAL EFFORT AND WORK ENVIRONMENT:
Incumbent performs duties in a standard office environment, involving speaking clearly, hearing sounds/communication, close vision, handling/grasping/fingering objects, crouching/kneeling, reaching, bending, and lifting/carrying objects weighing less than 25 pounds. Incumbent occasionally works evening hours.
