JOB SUMMARY:
The Marketing Coordinator will be responsible for effectively performing in an organization that has a strong culture characterized by teamwork, engagement, and challenging opportunities, that will drive professional growth and organizational growth. The Marketing Coordinator is responsible for working closely with the marketing team in efforts to support the recruitment and retention of current and potential future residents of Heritage Community of Kalamazoo. The Marketing Coordinator will manage events, and scheduling of appointments related to the marketing team. The Coordinator will work with all vendors and contractors to effectively communicate event needs for the team and future residents.

MAJOR RESPONSIBILITIES:
The Marketing Coordinator will:
  • Plan and manage marketing events and conferences, by identifying, assembling, and coordinating requirements, establishing contacts, developing schedules and assignments, and coordinating mailing lists.
  • Primary liaison for external customers, including handling customer service inquiries, requests, complaints, problems and other customer-related issues related to the Welcome Center residential living operations.
  • Supports Marketing team with various tasks such as phone calls, appointment hosting, etc.
  • Uses MatrixCare Marketing (MCM) CRM to track activities and keep unit inventory database updated.
  • Maintain a directory and inventory of sales support materials, ensuring all resources are current and accurate, and coordinate the creation of new materials as needed.
  • Support social media management across all platforms.
  • Support move-in coordination process across continuum.
  • Maintain and strengthen the organization’s overall brand internally.
  • The ability to coordinate multiple tasks and prospective residents in an effective and professional manner.
  • Conducts competitive analysis on annual or as needed basis.
  • Continually seek and research new sources of prospective customer data and Provide recommendations to sales and marketing leadership.
  • Monitor own work performance, welcome feedback and adjust; seek help as needed to fulfill job duties.
  • Performs other duties as assigned by the Director of Marketing.::

  • Show eagerness and flexibility completing other duties as assigned.
  • Conduct work tasks safely and according to the community safety program.
KNOWLEDGE AND CRITICAL SKILLS / EXPERTISE:
  • Must have excellent customer service skills and competencies, including excellent writing, speaking and presentation skills.
  • Proficiency in full Microsoft Office suite, especially with Excel and PowerPoint
  • Maintain industry knowledge, skills and expertise; keeps current in trends, new practices or designs in the sales and marketing field.
  • Pursue job-related professional development.
  • Proven ability to develop effective referral relationships with potential and existing customers.
  • Must be a master of creating and maintaining fruitful relationships.
  • Must master the technical aspects of the role including: the computing and reporting environment, contracts/disclosure statements, CRM database, state regulations and the sales process.
ESSENTIAL FUNCTIONS:
Mathematical Ability

  • Ability to add, subtract, multiply and divide and calculate decimals, ratio and proportion, discount, interest, profit and loss, percentage, commission, markup and fractions; and determine time, weight, and measures.
  • May require the ability to apply formulas involving variables for setting up spreadsheets.
  • May require the ability to perform and apply descriptive statistics.
Environmental Adaptability

  • Ability to work effectively in an office environment.
  • Ability to work effectively in a health care environment.
Essential Physical Functions

  • Ability to operate a variety of automated machines including a copier, personal computer, typewriter and fax machine.
  • Ability to coordinate hands and fingers in performing typing or data entry; may require the ability to coordinate hands, arms and legs in order to walk and drive an electric cart.
  • Ability to exert light physical effort in sedentary to light work involving sitting most of the time; but may involve walking or moving from one area to another or standing for periods of time.
  • Ability to exert a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects.
EXPERIENCE:
  • Bachelor’s degree sales or marketing and a minimum of two years’ relevant work experience is preferred.
  • Past work experience as a marketing coordinator or similar role preferred.
  • Knowledge of traditional and digital marketing, content marketing, and social media marketing.
  • Demonstrated interest in continued growth and learning.
  • Valid driver’s license.
