Medical Receptionist
$18-21 / hour, M-F, FT
Our Medical Office Receptionist position is not your typical position.
We are seeking an outgoing, career-minded, professional with strong leadership, problem-solving, and multi-tasking skills for our Medical Office Receptionist. In this role, you will run our front office with excellence and confidence and will ensure our Patients receive an exceptional experience.
The ideal candidate for this Medical Office Receptionist uses a customer service approach and mindset to support clients and resolve conflicts from initial contact to discharge. You have a proven track record in process efficiency and forward-thinking, maximizing schedules for multiple providers, and understanding the big picture this role will play on the overall success of the practice.
Principal Responsibilities
- Ensure clients have an exceptional experience throughout (Scheduling, billing, and follow up). EMR experience is critical
- Helps maintains a clean and welcoming office environment.
- Schedules appointments for evaluations, ongoing treatment, and special events.
- Maximizes provider daily schedules and resolves scheduling conflicts to meet productivity goals.
- Manages client billing.
- Maintains consistent communication and collaboration with providers regarding scheduling needs and changes.
- Ensures a smooth and efficient front office workflow and adapts workflows according to practice growth.
- Manages all incoming referrals promptly.
- Manages the waitlist by scheduling availability.
- Soft marketing new service offerings to increase attendance and overall revenue.
- Ensures compliance with cancellation and attendance policies while maintaining a high level of customer service.
- Data entry and invoice/collect/post client payments into practice management and workflow systems.
- Performs insurance verifications and obtains initial authorizations, as needed.
- Run daily and weekly statistical reports.
- Assist with special projects.
- All other duties as assigned.
Qualifications
- AA Degree or higher or relevant medical practice experience.
- Minimum 2-5 years experience as a scheduler or front desk receptionist for a therapy or healthcare practice.
- Exceptional customer service and conflict resolution skills.
- Possesses an ownership attitude of job responsibilities.
- Ability to quickly learn and understand the day-to-day operations of the scheduling process and its impact on the overall viability of the practice.
- Strong time management and organizational skills; ability to handle multiple concurrent assignments, with a high degree of efficiency and accuracy.
- Decisiveness with a strong ability to independently problem-solve.
- Working knowledge of modern office technology including Electronic Medical Records.
- Proficient with basic computer programs (Microsoft Office Word, Excel, Powerpoint, Windows 10, Outlook, etc.).
- Working knowledge and understanding of insurance benefits and authorization requirements.
- Excellent analytical, interpersonal, and oral/written communication skills.
- Proven ability to work with insurance companies and maintain high standards of professionalism.
- Knowledge and understanding Health Insurance Portability and Accountability Act (HIPAA).
- Must have reliable transportation.
- Successful completion of a Background Check.

Pay: $18.00 - $21.00 per hour
