Job description
Responsibilities include collecting, sorting, preparing, and scanning documents; uploading documents into EHR system; and ensuring those documents are comprehensive, allowing the Adams County Health Department providers a thorough review for decision making. Provide excellent customer service to internal and external partners. Timely review and response to medical records requests for client information. Ensure the protection and proper distribution of any protected or confidential information.
- Manage multiple inquires for medical records requests ensuring timeliness and completeness.
- Facilitate the gathering of records for audit purposes.
Emergency Preparedness Duties:
- Employee responds, as required, to support public health emergencies, incidents, and events. Employee participates in all exercises and drills on emergency preparedness, as required.
- Completes trainings identified as appropriate for this level employee.
Additional Duties:
- Assists in the orientation and training of new administrative support employees, students, and interns.
- Participates in QA/QI project as needed.
HIPAA Statement:
Maintain sensitive & confidential client information according to the HIPAA policy confidentiality requirements.
Knowledge of:
- Medical terminology and the health benefits claim process.
- Standard office equipment and software (Microsoft Office Suite, including Outlook, fax machine, scanner) and contact center-style phone systems.
- HIPAA regulation.
Ability to:
- Utilize various computer programs.
- Willingness to learn new systems and procedures.
- Self-motivated organizational skills, with the ability to follow a priority structure.
- Exceptional written and verbal communication skills.
- Thrive in a hybrid work environment as part of a team and independently.
- Excellent organizational skills; strong attention to detail and follow-through
- Project management-type skills; prior experience managing a high-volume workload
Equipment Used:
Standard office equipment including, but not limited to, personal computer and associated hardware and software, telephone, copier, calculator, and audio-visual equipment.
Education and Experience:
- High School Diploma or equivalent required.
- Clerical, customer service, reception, or healthcare experience preferred.
- Previous medical records experience preferred.
- Ability to work well in a team-oriented environment.
- High standard of ethics and confidentiality.
- Bilingual (Spanish) preferred.
Working Conditions and Physical Requirements:
- This role remains in a semi-stationary position, often sitting or standing for prolonged periods of time. Occasionally, this role will move about to accomplish tasks by walking or traveling from one department to another, or by traveling from one worksite to another. This position’s physical demands are assessed to be light work that includes moving objects up to 20 pounds.
- This role constantly communicates with others to exchange information by speaking and writing, and that includes repeating motions that include wrists, hands, and/or fingers.
- This position will be asked to self-assess accuracy, neatness, and thoroughness of work assigned.
- This position can expect no adverse environmental conditions as work is performed in an office building.
