Job Summary:

The Medical Records Supervisor is responsible for leading the team that collects and prepares medical records
for use in medical assessment services. This position must ensure that their team sorts and categorizes medical
records, prepares documents for physician review, and follows effective document management practices.

Essential Duties and Responsibilities

  • Oversees the Medical Records team to ensure accurate and timely preparation of medical records for
    use in medical assessment services
  • Responsible for all workflows related to medical records processing, including diagnostic records
  • Trains team members, as needed, on the following Medical Record Specialist duties:
    a. Collects and prepares medical records for use in medical assessment services
    b. Reads, examines, identifies, and scans treatment records, progress notes, and other
    documentation relative to specific medical and/or psychological conditions listed by claimants
    c. Converts hard copy documents into an electronic PDF format which uploads into a centralized
    database
    d. Utilizes Adobe Acrobat software and high-speed production scanners for the purpose of
    transforming hard copy documents into an electronic format
    e. Identifies listed medical or psychological conditions, including all related conditions or triggers,
    and electronically index each according to their medical specialty
    f. Sorts and categorizes electronic and hard copy medical records in preparation for physician
    review
    g. Follows document management practices consistent with organizational policies and
    procedures, and appropriate for the type of service request
    h. Ensures that medical records are ready for physicians in a timely manner to facilitate completion
    of services as scheduled
  • Sets goals for the Medical Records team and monitors/communicates performance with an aim towards
    continuous improvement
  • Participates in ongoing educational and/or training activities as required
  • Perform other duties and responsibilities as assigned

    Acrobat document creation software
  • Ability to understand, follow, develop, and implement policies, procedures, and verbal instructions

Education and/or Experience:

  • Bachelor’s degree in Business or Accounting, or related field from an accredited college, or equivalent
    experience/combined education
  • 3 to 6 years of working in a professional office environment is required
  • Significant experience working in a medical, insurance, or legal environment is strongly preferred
  • Proven track record of supervising other employees is preferred
  • Proficiency with Excel and creating reports is required.
  • Must be able to successfully pass National Agency Check with Inquiries (NACI) background investigation
