PURPOSE

Working in the Life West Rugby program, the Men’s Rugby Team Manager will provide team management oversight and services, and administrative leadership of the Men’s Rugby program that includes Men’s D1 15-a-side team, and any other 15-a-side team/s that participates in the same season.

The Team Manager is responsible for ensuring all team operations and off field logistics are professionally delivered, including preparation, team assemblies and during the competition itself.

RESPONSIBILITIES

  • Working with the Athletics Director and supporting the Men’s Rugby Head Coach, and program Coaching Staff,, you will be responsible for the Life West Men’s Rugby program team operations and logistics.
  • As Team Manager you will be responsible for all Program and Team logistics and operations including the preparation phase, in-season league play, while on tour (travel games), including the National Championship Finals campaign, if required.
  • General roles and responsibilities include:
  • In collaboration with the Head Coach, help to create a High Performance environment that leads to success;
  • Manage team expenditure, game schedules, travel and logistics, institutional compliance requirements, internal team protocols, and reporting;
  • Coordinate player, and coach, eligibility and availability;
  • Liaise with the various League organizers, team sponsors, game venues, vendors, and internal/external stakeholders, and ensure the program is adhering to relevant stakeholder policies and regulations, including Life Chiropractic College West, USA Rugby, World Rugby, and the NCRFU.
  • Prepare a detailed monthly Team Manager’s report that includes financial report, comments on team assembly, travel and logistics, accommodation, meals, equipment, match results and statistics and other relevant information.
  • Work with the designated Athletic Trainer/s to ensure medical supplies and equipment are coordinated and available for team use;
  • Working with the Athletics Director or a designated assistant, coordinate all bookings including travel, accommodation, meals, transportation, training venues and equipment.
  • Ensure relevant documentation for new players is in place;
  • Manage eligibility, medications, anti-doping waivers; room allocations, selection of game day duties team, oversight of team apparel including playing, training, formal and casual apparel;
  • Facilitate team and coaching staff meetings including timings, agenda and follow up actions
  • Team and Player Welfare roles and responsibilities include:
  • Off-field discipline throughout the 2022-2023 campaign
  • Provide leadership, communication and consultation with players, staff partners, family and team management.
  • Work closely with the Head Coach regarding team schedules, including communication of training, team meetings, PR Marketing and Promotional activities, community engagement, media liaison, team and player disciplinary standards, team standards and social activities and events.
  • Liaise with venues regarding all bookings including changes to schedules.
  • When on Tour roles and responsibilities include:
  • Liaise with Host Club and ensure all preparation is in accordance with the League Participation

Agreement

  • Be well versed with all League Participation Agreements and comply with all procedures and processes
  • Financial management of team budget on tour
  • Co-ordinate and chair of staff and team meetings including timings, agenda and follow up action items
  • Update daily schedule as required and ensure changes are communicated to all stakeholders.
  • Prepare and enter into USA Rugby’s CMS the final Team Roster submission within relevant League

Participation Agreement deadlines

  • If required, attend Team Managers Meeting (National Championships only)
  • Media Liaison as required
  • Oversee off-field discipline while on tour, and ensure the college’s Group Travel Policy, Code of

Conduct, and local, state and federal law regulations are followed at all times

  • Provide leadership, communication and consultation with players and team management.
  • Ensure an official team photo is taken prior to kick off and post game
  • Match Day Operations roles and responsibilities include
  • Prepare and communicate Game Day Run Sheets
  • Brief all team management on match day schedule and allocate areas of responsibility
  • Prepare and submit team roster into USA Rugby’s CMS.
  • If required, document all on-field disciplinary incidents that may result in a judicial hearing. Deal with all matters associated with these proceedings.
  • Team Manager Checklist:
  • Administration requirements - operating within institutional guidelines and best practice
  • Mange team dress code for home and away (travel) games
  • Finalize transport needs including bus/transportation schedule on away games
  • Ensure training venues and equipment is organized and communicated
  • Keep in contact with players to determine their availability
  • Plan and coordinate accommodation requirements
  • Schedule meals and timing
  • Assist with Team Management requests - Coaches, Medical/AT, S&C,
  • Coordinate and oversee media requirements for internal and external stakeholders
  • Provide Team Media Release to Marketing Department for weekly communication
  • Manage team meetings including chairing meeting, agendas and actionable items
  • Communicate air travel/flight bookings & ticketing to team members
  • Prepare and submit team sheets
  • Prepare and communicate room lists on away games
  • The Team Manager will work closely with the Athletics Director ensuring administrative and logistical plans are completed in a timely and efficient manner
  • You are expected to display effective leadership and management of players, team coaches, support staff, volunteers, resource coaches, team staff and various stakeholders, both within the program, and externally in the wider community.
  • You will be required to manage the Men’s Rugby program to the best of your ability, enhancing the reputation of Life Chiropractic College West through the program’s athletic endeavors, enhancing team culture while adhering to the college’s core values, mission and chiropractic philosophy.
  • You are expected to manage the team to a standard of excellence, and in doing so, you will:
  • Collate all player details including relevant personal information, emergency contacts and medical conditions (HIPAA compliant)
  • Organize and coordinate team support structures including medical staff, fitness staff and media support
  • Ensure membership fees are paid and registrations are current
  • Communicate training and game schedules - weekly, monthly and entire season
  • Lead players and ensure they are aware of off field duties and responsibilities and institutional policies including at post-match functions, during travel, and in general public
  • Work with Team Leaders and Team Captain/s to ensure they operate in an appropriate manner
  • Recognize the efforts of the Referee Team on game days, and ensure the team cooperates with match officials
  • Ensure injured athletes are cared for by the Athletic Trainer/s
  • Assist the Coaching Staff to keep in regular contact with all athletes
  • Manage distribution pre-game and full collection of game day uniforms (jerseys, shorts and socks) post game, and ensure the uniforms are cleaned and ready to play in for the next match;
  • Coordinate pre-game, half-time and post-game food and refreshments are organized and readily available for the team,
  • At home games, ensure home field is prepared and ready to play on in accordance to the League Participation Agreement regulations;
  • At away games, ensure host club equipment and supplies are organized and readily available including access to water, hit-shield pads and other equipment required by the Coaching Staff;
  • At all games, ensure match day equipment - balls, cones, kicking tees, playing uniforms, ball pump, player mouthguards and other equipment required by the Coaching Staff is available
  • Touch base with match officials on arrival to the playing venue. Coordinate team and captain/s pre-game talk with match officials
  • Ensure the playing field is in suitable condition to play;
  • Monitor and record game data including team and opposition scoring, player movement, substitutions and replacements, on and off field incidents
  • Monitor Team and Coaching Staff sideline behavior;
  • Working closely with the Athletics Director, you will be required to plan the season calendar, book travel, manage program logistics, facilitate field rentals, purchase uniforms, schedule games, organize post-game activities and drive athlete recruitment;
  • Working with the Marketing Dept. you will provide PR, Marketing and Communications data, information and assets (images, video, stories etc.) to help promote the rugby scholarship program, the team, and Life Chiropractic College West to a wider audience.
  • You are required to submit a Weekly Report to the Athletics Director providing detailed insight into player and team progress, match results, and PR, marketing and communication outcomes, recruitment updates and any pertinent information relevant to the program;
  • You will be responsible for administrative oversight of the program’s external association memberships including USA Rugby (USAR), Northern California Rugby Football Union (NCRFU), and all other sport specific associations the program is involved with.
  • Ensure the program adheres to sports specific compliance when:
  • inputting data of individual membership information and team rosters into the USAR and NCRFU Competition Management Systems (CMS);
  • submitting program documentation, and player and team membership information required to comply with competition standards, league regulations, and relevant deadlines;
  • following game management guidelines that allow the program to operate in accordance with regulatory body mandates;
  • Ensure the program adheres to institutional compliance involving:
  • Title IX statute and relevant Department of Education legislation;
  • all relevant college policies, codes of conduct, scholarship program agreements, and Athletic Department operating procedures and tasks;
  • monitoring student athlete academic progress, assessing cumulative GPA results;
  • Ensure all members of the program, as ambassadors of the college, follow Diversity, Equity and Inclusion best practices, operate in a professional and courteous manner, and illustrate exemplary standards at all times when representing Life West, both on and off the field.
  • Other responsibilities as required.

SKILLS & EXPERIENCE REQUIREMENTS:

  • Registered USA Rugby membership (required)
  • USOPC certified Safe Sport Coach Certification (preferred)
  • Level 2 World Rugby Coach Certification (preferred)
  • Level 3 World Rugby Coach Certification (preferred)
  • Minimum of two (2) years of rugby-specific team management experience
  • Advanced computer skills, with previous use of video/game coding software and performance analysis
  • Strong verbal and written communication skills
  • Must be reliable, dependable, and able to work independently
