About LEAP's Middle School Programs: LEAP’s middle school programs aim to create a safe, welcoming space afterschool for middle school students to participate in offerings that are fun, engaging, project-based and have an academic and creative focus. The program supports youth from diverse populations and backgrounds over three 10-week afterschool sessions and a 5-week summer session of enrichment programming which align with LEAP’s initiatives.
The Salem site (Expanding Horizons) is a 21st Century Community Learning Center program funded by the U.S. Department of Education and it is run in partnership with the Salem Public Schools. The Lynn site (Dream MORE) is also a 21st Century Community Learning Center and is run in partnership with Lynn Public Schools.
Position Description: LEAP’s Middle School Program and Outreach Associate will provide administrative and programmatic support across both of LEAP’s middle school programs. There are three primary components to this position: 1) conducting outreach to students and families, 2) providing administrative support to LEAP’s middle school team in delivering program offerings and tracking student participation and outcomes; and 3) directly supporting program Site Coordinators in day-to-day program operations. The estimated time share for administrative and program/outreach responsibilities is generally 50%/50%, but may vary week to week depending on priorities. The staff person in this position will be a vital member of the middle school team. This position reports to the Senior Director of Middle School Programs.
Essential Duties
Program and Outreach Focused:
- Aid in recruitment, enrollment, and communication with students and parents.
- Plan, organize and perform a wide variety of program duties related to family outreach, student enrollment, student attendance concerns, student transportation, and student file maintenance.
- Create and distribute regular family newsletters about program happenings and upcoming events for each program
- Identify best practices on how to share information with diverse families and design additional methods for outreaching to and sharing information with families.
- Work with Site Coordinators to plan and implement family events and opportunities.
- Support Site Coordinators approximately 2 days a week during program hours with administrative tasks such as program set up, attendance tracking and follow up, leading and organizing some activities, and assisting with student groups that need more support.
Administrative and Data Focused:
- Assure the quality of data entered into our Salesforce-based student information system. This will involve data entry, uploading files, and data auditing to make sure information is complete and accurate (continuous).
- Track the completion of survey documents and other documents detailed on the data calendar for middle school programs.
- Gather, track, and occasionally enter the data needed to assess student engagement and progress and program operations.
- Assist with communications around screening, hiring and onboading program staff
- Research curricula resources and activities for implementation in the middle school programs.
- Prepare and translate into Spanish a variety of materials from brief verbal or written instructions, such as student surveys, mailings home and other documents.
- Support LEAP’s middle school team with development of supply lists and purchase orders and identification of the best places to purchase needed program supplies.
Job Requirements & Qualifications
- Associate's degree with relevant experience for 2 years. Or Bachelor’s degree with 1 year of relevant experience. Without a post-secondary degree, at least 3 years of relevant experience is required.
- Computer skills include: Basic data entry, simple formatting of documents and creating basic templates, and experience working with Google documents, forms, slides and sheets.
- Understanding and experience working with diverse (e.g., race, ethnicity, language, literacy levels, ability, socio-economic status, sexual orientation, gender and gender identity, religion, etc.) families, children, youth and communities
- Fluency in Spanish – very strongly preferred. Looking for applicants who have the ability to speak, write, and fully communicate difficult and nuanced conversations in Spanish and English.
- Highly organized, detail oriented, reliable
- Ability to prioritize tasks and maintain progress on short and long-term goals

Hours and Compensation: This is a 37.5-hour a week position with the potential to increase to 40 hours. It is a full-time position in terms of eligibility for benefits. Compensation for this position ranges from $18.00/hour to $20.50/hour depending on experience and education.
