We are looking for a master multi-tasker with excellent communication skills and an upbeat attitude. Candidates should be able to assist management and all visitors to the office by handling routine tasks, providing polite and professional assistance and generally being a helpful and positive presence in the workplace. This position requires experience in general office management, as well as excellent organization skills necessary to support community maintenance operations.

Responsibilities
Office Administration
- Develop and enhance processes/procedures to effectively manage daily operations of LIA’s office.
- Meet and greet visitors, distribute mail, overnight packages, answer phones and direct inquiries, and maintain office, kitchen, and meeting spaces.
- Compose responses to office correspondence and other inquiries.
- Provide support for trainings, conferences and special events including venue and food arrangements.
- Order office and kitchen supplies, manage inventory and maintain adequate supplies for the office and staff based on set budgets.
- Develop and maintain electronic and paper filing systems for other pertinent information.
- Maintain and troubleshoot computers and other office equipment. Work with LIA’s IT as needed.
Senior Administration and Operational Staff Support
- Assist with Board meetings, logistics, and meeting minutes and coordination.
- Serve as staff liaison to City, County and State regarding special projects.
- Assist operational staff in various program processes including collection of information/data and project outcomes, processing consultant contracts and insurance, and maintaining program records to ensure all office files are accurate and up to date on a regular basis.
- Contact vendors to secure rentals, purchases or appointments of operational staff’s equipment based on set budgets.
- Manage inventory and ordering of operational staff’s uniforms, equipment and supplies based on set budgets.
- Assist with annual report and other reporting as needed.
- Work with Operation Manager on operational staff’s schedules.
- Manage auto insurance claims.
- Perform other related duties as assigned.
Event Programming
- Schedule and oversee entertainment for Piazza della Famiglia.
- Oversee music handler for Piazza della Famiglia.
- Support the Association on event planning and logistics.
Job Type: Full-time
Pay: $22.00 - $24.00 per hour
COVID-19 considerations:
The Little Italy Association Office is closed to the general public, but does have certain Board and Committee Members that come in for meetings. All standard State and County COVID guidelines are followed.

Education:
- Bachelor's (Required)
Experience:
- Microsoft Office: 5 years (Preferred)
- Administrative experience: 5 years (Preferred)
- Event planning: 5 years (Preferred)
