Washington Corrections Center (WCC)
This recruitment may also be used to fill future vacancies as they occur.
The Department of Corrections is seeking a highly motivated and qualified individual for the position of a Office Assistant 3 to support the Washington Corrections Center (WCC) Reception Center Clerical Unit.

WCC located in Shelton, Washington is the Reception and Diagnostic Center, a close-custody facility with the primary responsibility to process, test, and classify all adult male incarcerated individuals sentenced to prison in Washington State. The facility has seven living units and houses 1,700 incarcerated individuals. There are about 500 incarcerated individuals screened and assessed each month. WCC is also the major hub for transfer of incarcerated individuals to and from facilities throughout the state.

Duties

These positions directly support the classification process and the mission of the WCC Receiving Diagnostic Center (RDC). This position provides clerical support to the Correctional Unit Supervisors, Classification Counselors, and the Correctional Program Managers. Your primary responsibilities will be one of the duties listed below as you will be cross trained for the other duties on an as needed basis. You will be an integral part of a dynamic Clerical team that works together to share the following roles and responsibilities:

Create daily RDC List of newly Incarcerated Individuals (I/I)’s


  • Track I/I’s that arrive at the WCC
  • Screen Incarcerated Individuals (I/I)’s for Gang Affiliations, Prohibited Placement and Separatees, Estimated Release Dates, etc.
  • Schedule mandatory Orientation for newly arrived I/I’s and award certificates of completed attendance
  • Utilize Callout procedures by managing the I/I’s internal movement from one location within the facility to another to go through Orientation
Assign Classification Counselors to newly arrived I/I’s by following guidance from the Correctional Program Managers, Correctional Unit Supervisors, and email communications
  • Screen and verify I/I’s from Counselor Assignments on the RDC List
  • Create weekly Classification Counselor List of I/I’s assigned to each Caseload
  • Assign Classification Counselors in the Offender Management Network Information (OMNI) for record keeping
Collect Court ordered DNA/Paternity from Incarcerated Individuals (by taking thumb prints and swabbing inside of mouth)
  • Utilize Washington Access to Criminal History (WATCH) to verify latest crime listed
  • Complete DNA cards with I/I information
  • Enter I/I information in DNA Log for record keeping
  • Package DNA samples for mailing to the Washington State Patrol
Receive the Legal Mail for I/I’s that come through the WCC Reception Center
  • Log the Incoming Legal Mail on the legal mail tracking records
  • Check in/out legal mail to the assigned authority
  • Prepare I/I’s legal mail for transport out of the WCC facility on their release date
  • Coordinate with the WCC Law Librarian on legal mail check out and inventory weekly
WCC Operator/Switchboard main phone line
  • Answer all incoming calls on multi-line phone
  • Provide answers to questions and transfer calls to appropriate staff; ensure callers get answers to questions within established public disclosure guidelines and policies
  • Prepare, scan and index incoming documents received from various sources into OnBase (WCC’s digital storage for a paperless work environment)
Other Duties as Assigned
  • Ordering Supplies
  • Complete End of Sentence Release Letters and Sponsor Letters
  • Sort Incoming Mail
  • Back up other clerical staff as assigned
  • Proficient use of computers and work-related programs and office equipment
Specific clerical support duties supporting Evergreen and R Units (I/I’s Living Units)

  • This position is located on site at the Washington Corrections Center.

Qualifications

Required:
High school graduation or equivalent.
6-months experience using Microsoft Office Suite

Desired:
Two (2) years of clerical experience.
