Examples of Duties

Under general supervision, the purpose of the position is to provide routine administrative support to the assigned department or assigned supervisor. Employees in this classification function at a moderately difficult generalist level and are accountable for the accuracy of both routine and non-routine administrative support duties performed as dictated by the nature of the department. Position may be assigned to a large department and perform a broad array of generalized administrative support functions, or assignment may be to a smaller specialized department wherein incumbents receive instruction in departmental functions. This classification requires strong organizational and interpersonal skills with the ability to carry out a variety of directed tasks.

There are two part-time positions within the Fire Department:

Office Assistant - Fire Administration
The role of Office Assistant within Fire Administration provides front desk lobby support for building administration including greeting visitors, assisting with questions and overall lobby support as well as:


  • Researches and generates correspondence, articles, memos, agendas, orders, reports, forms, manuals, or other relevant materials appropriate to the assigned department.
  • Performs a variety of routine administrative functions, e.g., data entry, typing, reports processing.
  • Supports that administrative operations manager in clerical responsibilities including supplies order and inventory.
  • Compiles, prepares, and may be responsible for distributing daily, weekly, monthly or annual reports, invoices, purchasing orders, and other relevant materials appropriate to the assigned unit.
  • Receives telephone inquiries and complaints, ascertaining the nature of the call, resolving customer issues or directing to appropriate personnel for further assistance.
  • Performs a variety of essential record keeping duties, and maintains department record keeping and filing systems relevant materials appropriate to assigned unit, e.g., payroll, accounts payable, departmental files, personnel records, accounting data.
  • Completes and processes various forms required of assigned department, i.e., personnel forms, invoices, work orders, purchase orders.
  • Operates various office equipment, e.g., computer terminals, word processor, printers, copy machines, telephone systems, facsimile machines, calculators.
  • May assist in Fire Administration detail clerical support and scheduling.
  • Assists other unit personnel in supporting efficient functioning of the department.
Office Assistant - Community Risk Reduction Division
The role of Office Assistant in Community Risk Reduction provides routine administrative support to the division to include:
  • Research, development of reports, correspondence generation, and appointment scheduling for the Division Chief / Fire Marshal.
  • Schedules and coordinates public education activities including station tours, car seat installation appointments, and safety talks.
  • Support the Community Emergency Response Team (CERT) with personnel files, scheduling of Special Events, and other related functions.
  • Ensures office coverage during normal business hours. Coordinates office and business communications.
  • Assists with processing annual fire inspections and develops other reports as necessary. Scheduling and invoicing of the division's Fire Watch details, overtime, fire-watches, and other reimbursable processes.
  • Invoicing and processing of annual fire inspection, re-inspection fees and liens. Processes payroll through department staffing management program.
  • Liaison to City Clerk's Office, IT Department and other departments as needed.
  • All other duties as assigned by the Division Chief / Fire Marshal.

Typical Qualifications

  • High school diploma/GED required.
  • Two years of experience working in an administrative support position, preferably in an academic institution/training environment.
  • An equivalent combination of training, and related experience will be considered in lieu of education requirement.
