Position overview:
The Office Manager is the main point of contact in the Jewish National Fund-USA regional administrative center (Internally known as Center of Excellence aka CoE) for the Israel Advocacy and Education (IAE) and Alexander Muss High School in Israel (AMHSI) departments. The internal title for this role will be Center of Excellence.
This position will work in partnership with the Admissions and Recruitment teams on all aspect of the parent and family experience. This role will work on AMHSI and all North American AMHSI trips. This position reports to the Executive Director, Israel Advocacy and Education and will be based out of our Rockville Centre, Long Island office.
Job Duties will include:
- Oversee the student registration process from the time a student makes a deposit to the time the student leaves for Israel working tandem with the admission and recruitment team.
- Ensure all relevant pre-Israel communications to families and student prior to departure are sent out in a timely manner
- Arrange and manage all aspects for events that are AMHSI related (virtual information sessions, etc…) and serve as liaison to other COE’s that are working on events that relate to AMHSI taking place in local JNF regions
- Work with marketing and recruitment to manage the SWAG inventory and SWAG distribution prior to departure and to recruitment team.
- Serve as point on contact to Traveland to ensure that they have all the information they need to in a timely manner and book all flights for chaperones and professionals
- Ensure that all arrangements are made at each airport for student departures
- Oversee the customer service email and ensure that emails are answered in a timely manner and distribute inquires and questions to appropriate professionals.
- Supervise the Customer Service Specialist and
- Work with CAO and AMHSI COO and Executive Director on Muss on quarterly billing
- Building SF report for team as needed
- Produce and coordinate contract with travel partners in partnership with ED of Recruitment and Partnerships and Director of Travel Programs
- CoE Director may be assigned different departments or regions to work with if necessary
- Any further duties assigned from your supervisor, which may not be listed above
Qualifications:
- 5+ years administrative and event/project management experience
- Excellent interpersonal and organizational skills

- Billing and accounting experience preferred.
- Moderate travel and availability for evenings and weekends on as needed basis
- Candidates must have a valid US driver's license, access to a car and personal credit card to use for travel (documented expenses are reimbursed per company policy)

Salary range will depend on experience level, but can fall within the range of $60,000-65,000.
