Summary
The Operations Client Service position supports the Operations Department by preparing cost estimates for projects with standard, configured services based on received quotations. Assists with originating and developing cost data and prepares final estimates for approval. Works is subject to check and verification and instructions are usually given on variations.

Essential Functions and Responsibilities
Ø Evaluates customer requests for costs to understand the services needed.
Ø Determines cost estimate approach based on costs received from the vendors and type of client.
Ø Create cost estimates, SOWs, and related documents and send them to client after approval. Additional follow up might be needed.
Ø Calculates additional costs and determine the correct disclaimers per location, vendor and/or event.
Ø Coordinates the collection of costing information to ensure all data is saved and kept current.
Ø Obtain costs from vetted vendors and coordinate with the Vendor Vetting representative as needed.
Ø Track all quotes for follow-up
Ø Be able to problem solve resolution activities for all operational issues
Ø Participate in a variety of meetings, representing ground transportation issues and communicating updates and department policy to all functional areas of the organization
Ø Work closely with the different security teams
Ø Process and maintain a wide variety of files, logs, reports, and forms
Ø Monitor and adhere to internal operational controls, including legal, corporate, and regulatory procedures to ensure the safety and security of client assets and personnel

Competencies and KASO (knowledge, aptitude, skills and other)
Ø Working knowledge of obtaining / using cost data and vendor quotes
Ø Reading of and quantification from vendor documents
Ø Attention to detail
Ø Sound mathematical and numeracy skills
Ø Familiarity with software such as Microsoft Office Word and Excel
Ø Critical Thinking - Using logic and reasoning to identify the strengths and weaknesses of alternative solutions, conclusions or approaches to problems
Ø Judgment and Decision Making - Considering the relative costs and benefits of potential actions to choose the most appropriate one
Ø Multi-tasking time sensitive and detailed Operations planning activities
Ø Strong written and oral communication skills
Ø Ability to work independently while establishing effective relationships, collaborating with peers and clients
Work Environment
This position operates in a professional office environment. This role routinely uses standard office equipment such as computers, telephones, scanners, copiers, filing cabinets and fax machines.
Physical Demands
While performing the duties of this job, the employee is regularly required to talk and hear. This position requires the ability to occasionally lift office products and supplies, up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.
Position Type/Expected Hours of Work
This position is a non-Exempt position, as determined by the Fair Labor Standards Act. Regular full-time working hours equate to 40 hours each week. Operations shifts: Dayshift, Mid-shift, and overnights. Weekends might be required.
Travel
This position does not require routine travel.
Education and Experience
Ø A high school diploma is required
Ø Finance experience to provide statement of works and working with vendors is required
Ø An associate degree or bachelor’s degree from an accredited school is preferred
Ø Three (3) to five (5) years of experience in an Operational environment is preferred
Ø Multi-lingual and multi-cultural skills are preferred
Ø Military experience is preferred
