Job Summary:
The position is responsible for management of operational administrative projects, tracking of operational resource allocations, and oversight of specified staff.
Key Responsibilities:
- Perform routine reporting & compiling of rate card information
- Compile monthly head count & labor wage analyses for part time staffing
- Gather and report quarterly operational repair expenses that fit the Downtown Development Authority Repair Fund legal description. Submit quarterly requests for reimbursement.
- Manage the consolidation of budget documents and overall budget development for Operations Department, Northern Venues, BELFOR Training Center, and any related business units added in the future.
- Proof and compile weekly payroll for stagehands
- Coordinate VIP tour preparation and execution
- Coordinate assigned projects
- Plays integral role in the analysis and invoicing of outsourced labor, supply purchasing, specialty cleaning, conversion pest control, etc.
- Assists in various portions of Arena Management Software applications
- Maintain industry benchmarking activities and metrics with similar venues to establish KPIs
- Assist in event operations with oversight to facility, engineering, guest experience or general front of house management as assigned
- Assist with management of inventory (tools, supplies, furniture)

Minimum Knowledge, Skills and Abilities:
- Bachelor’s degree or equivalent combination of education and experience related area.
- 2 years of administrative, accounting and/or office experience.
- Proficient in Excel, Word, and PowerPoint
- Strong organizational, administrative, time management, and communication skills.
- Demonstrated proficiency with general office applications and in Microsoft Word, Excel, and PowerPoint.
- Comprehension of software applications (CAD, Blue Beam) relative to building operations, preferred.
- Understanding of Computer Maintenance Management Systems (CMMS) and Preventative/Predictive Maintenance software programs or equivalent.
- Resourceful and able to achieve objectives.
- The ability to plan, prioritize and execute several assignments/projects simultaneously while maintaining a high level of accuracy.
- Successfully work in a fast-paced environment.
- Demonstrate professionalism in every interaction and acts as an ambassador for the organization.
- Must be team oriented and able to work collaboratively with strong interpersonal skills, pleasant demeanor, strong work ethic and positive attitude.
Working Conditions:
- Irregular and extended hours including nights, weekends, and holidays.
- Exposure to high noise level.
- Frequent- visual/auditory attention.
- Must be able to lift up to 50 lbs.
- Requires long periods of time on feet and climb stairs.
