The Wistar Institute has an opening for an Implementation Specialist – ELN/Inventory Management to join is Operations team. The Implementation Specialist – ELN/Inventory Management is responsible for the implementation, support, and management of organization-wide initiatives pertaining to science administration. The primary focus of this role is the adoption and implementation of an electronic lab notebook (ELN) and electronic inventory system throughout all labs at the Institute. This position will work with the Principal Investigators and lab personnel to ensure successful adoptions and implementation of software throughout the labs.
The Implementation Specialist – ELN/Inventory Management evaluates and designs lab documentation processes for optimal efficiency and effectiveness. The Implementation Specialist – ELN/Inventory Management acts as liaison between Operations, IT and the labs regarding collection and retention of lab notebooks and inventory. The Implementation Specialist – ELN/Inventory Management will also ensure appropriate controls are implemented to ensure that lab notebooks will be protected and secure.

Duties and responsibilities:
Electronic Lab Notebook
  • Responsible for training science staff in the proper access to and utilization of Wistar’s centralized Electronic Lab Notebook (ELN) software, including assisting labs in designing appropriate organizational structure, documentation, and lab notebook reviews.
  • Manages ELN and Inventory software vendor relationship. Act as the primary liaison between researchers and the software vendor, building relationships to ensure appropriate response to issues brought by Wistar and management of enhancement requests.
  • Design appropriate templates and organizational structure inside ELN to enable quick adoption and implementation by lab.
  • Create documentation and training for onboarding and offboarding of new lab members.
  • Assists in managing of archiving of lab notebooks and other documents in paper format and ensuring smooth transition to electronic lab notebooks.
  • Assisting in resolving errors and troubleshooting
Materials Inventory
  • Responsible for training science staff in the proper access to and utilization of Wistar’s centralized electronic Inventory system, including creation of appropriate storage locations, collections and inventory.
  • Works with the Research Operations Coordinator to manage biologic inventories under Operations oversight including but not limited to minus 80C (lab and Institute “owned”), minus 20C, and LN2 freezers.
  • Works with EHS Manager and the Biosafety Officer to manage chemical inventories under oversight, including but not limited to chemical lockers, fume hoods and consumables.
Research Operations
  • Collaborates with the Compliance Officer to conduct the research compliance audit program, including preparation of audit checklists and scheduling of activities (typically around ELN and Inventory components), and documentation of audits with input from others in the science administration function under Operations.
  • Completes special projects and reports related to science administration functions, as assigned by the Director of Operations including but not limited to coordination of lab or shared facility renovations and moves and scientific asset inventories.
Requirements: Bachelor’s degree, preferably in a science-related field, required. Master’s degree in a laboratory biomedical science preferred. The ideal candidate will have two to five years of prior experience in an administrative or laboratory setting. Experience with a broad range of scientific instrumentation is preferred.
Specific Knowledge, Skills, or other Qualifications: Excellent computer skills, including working knowledge of Microsoft Office programs required. Experience organizing and structuring large amounts of data in applications (databases and/or Excel) a plus. Strong written and verbal communication skills required. The position requires an attention to detail, customer orientation, ability to work well with others in a team, and ability to maintain confidentiality. Must have confidence and credibility when training science staff on ELN and inventory systems, along with the ability to troubleshoot basic software issues with support of IT and vendor.
