- Managing all HH2 sites wihtin the Region, including establishing new user access, issuing all password resets, adding new employees to designated payroll groups and troubleshooting system issues
- Managing all HH2 sites in other Regions as necessary or as directed
- Completing systems training for Regional FUSE field and office staff, external users and updating training guides and materials as needed; training other Operations Support Managers on HH2 as needed
- Ensuring accurate assignment of payroll approval paths, maintaining any updates or changes on all jobs
- Ensuring all laborer, carpenter, and operator time (union and non-union) is entered correctly and coded correctly based on union/non-union hour review (where relevant) and contractual obligations
- Ensure hours are approved by client every week, escalating to PM team when hours go unapproved and following up with client directly as needed
- Provide Payroll processing support to Payroll Managers
- Managing Fueld Card Reuqests and distribution
- Manaing Administrative Assistants through payroll entry per project
- Opening jobs in HH2, Rental Results, etc. and coordinating with accounting team and PM team on cost ocde openings. Respond to new cost code requests/opening to as needed.
- MAnaging active job list in HH2, reviewing for job closures
- Commmunicating with lcient teams for requests, prioritizing needs for the dept.
- Savin all job Labor Back Up files for Accounting/ PM team for all Regional proejcts weekly
- Maintaining file structure in business online filing system and ensuring compliance by project team
- Running ad hoc reporting as needed, including job labor reports
- Coordinating and sending out correspondence for all reoccuring operations meetings as needed
- Supporting badge management for special projects as needed
- Manaing job costs by reviewing requisitions on rental reports and payroll reports, icnluding non-billable items
- Managing billings for smaller projects, including opening up new cost codes
- Maintaining and aduiting Intellex reporting for Safety inspection- and following up with PM staff and escalating concerns to leadership
- Setting up and managing regional project management fiels (file architecture) for all new jobs on the FUSE internal file, audit for completion routinely and ensure consistency.
- Support the updating of project management SOPs and project compliance lists
- Notify payroll and HR teams of layoffs as required; update H2 system as appropiate
- Coordinating IT equipment needs including software, phones, equipment laptops, Wifi, iPads for field teams
- Regularly review active jobs in HH2 and meet with fianance team to closer completed projects/cost codes as needed
- Managing document archival process for proejcts as needed
- Serving as back-up receiption, managing incoming calls for region as needed
- Overseeing and managing business accounts and corporate card expense processes, including reconciling expences between operations and finance
- Processing/preparing expenses/coding for all Regions/Executive, Office and Field Staff
- Handling additional duties and requests from Regional Team as needed
- Proficient in software used in office including HH2, Timberline, Microsoft suite
- Proficient in basic administrative functions and skilled in the use of office equipment and computer software including
- Ability to manage and prioritize tasks/projects independently
- Excellent written and verbal communication skills
- 4-year college degree or equivalent work experience required
- Construction background preferred, but not necessary
- Professional appearance and manner
- Ability to travel to various job sites
While performing the duties of this job, the employee is regularly required to sit for long periods of time; talk or hear; perform fine motor, hand and finger skills in the use of a keyboard, telephone, or writing. The employee is frequently required to stand; walk; and reach with arms and/or hands.
