Job Summary
Under direction of Workforce Development Director and Site Coordinator, supports office operations and activities for grant-funded programs that serve non-traditional students and clients in employment and training services at community locations. Monitors and maintains the site's expenditure tracking systems. Monitors grant budgets and acts as a liaison to the college's Business Office.

Essential Duties


  • Coordinates office operations including scheduling, work-flow, and ordering of supplies and tickets. Maintains spreadsheets to track expenditures, purchasing and participant progress.
  • Monitors program budgets, reconciles expenditures, and assists with fiscal administration for the program including report generation, funding, billing, payroll, employment, staffing hours, travel, petty cash, and purchasing. Initiates and processes program purchases and billing related paperwork.
  • Serves as operational and administrative liaison with those inside and outside the College regarding administrative issues related to student registration, grades, financial aid, purchasing, human resources, records, and operations.
  • Provides customer service, both in person and over the phone; assists in resolving problems. Provides general guidance, information, and assistance to staff. Interacts with public, vendors and partner agencies.
  • Provides direct support to the director including, but not limited to, correspondence, projects, research, compiling and analyzing data, preparing reports, recommendations, and calendar maintenance.
  • Plans, coordinates, and facilitates processes and events unique to the site, including scheduling and marketing of special events and workshops.
  • Develops, reviews, and recommends office policies and procedures. Prepares procedures manuals, forms, and other related materials.

Additional Duties
  • Provides backup for administrative functions in the absence of Site Coordinator.
  • Performs all other duties as assigned.

Minimum and Desired Qualifications

Minimum Qualifications (Education, Experience, Computer Skills, etc.)


  • High school diploma or GED
  • Two (2) years of experience providing administrative and budget support in an office or similar program
  • Intermediate (considerable) skills in word processing, spreadsheets, databases, email, and web-based applications, all within the Microsoft Office Suite
  • Experience working with diverse populations of students and clients from educationally and economically disadvantaged backgrounds

Equivalent combinations of education and experience may be considered.

Working Conditions and Important Information

Working Conditions
Work is performed primarily in an office setting and the position interacts with a variety of individuals including students and clients who may be emotional and exhibit stressful behavior at times. Heavy computer use and repetitive hand/wrist motion for keyboarding functions are typical. Occasional driving required for assignments located at off-campus sites.
