Overview:

We are searching for a payroll and accounting professional to help support our growing team! The ideal candidate is a proactive problem-solver with strong attention-to-detail. We are a hospitality business at the core, so we are looking for candidates who demonstrate the ability to balance results with being human. This role reports to the Director of Operations & Finance.

Responsibilities:

Process high volume of paychecks (400+) accurately for multiple LLC companies in the food and beverage industry with weekly and bi-weekly payrolls depending on state.

Determines payroll liabilities by calculating employee federal and state income and social security taxes and employer's social security, unemployment, and workers compensation payments

Review timesheets by company on a weekly basis and calculate overtime and tips payable according to federal and state regulations.

Reconcile employee records, wages, pre-tax and post-tax deductions, insurance premium, and other payroll and employee information.

Prepare employees' final paychecks.

Communicate with People Care regarding payroll matters including pay rate changes, new hires, and terminations.

Maintain and keep information and records confidential.

Process attendance records and other documents (e.g. W-2 and tax forms).

Check payroll information for accuracy and ensure all relevant paperwork is in order.

Communicate with People Care about changes in payroll (e.g. terminations, new hires, pay rate changes) and process other financial compensations or deductions (e.g. annual bonuses, severance pay, taxes, worker's compensation).

Oversee electronic payments and distribution of payroll checks.

Maintains employee confidence and protects payroll operations by keeping information confidential

Handle benefit expenses, like insurance fees or paid leave.

Produce reports to upper management, upon request.

Support accounting requests from authorities (e.g., IRS or state agency) on payroll audits or requests.

PT assistance with AP coding

Requirements:

  • 2 years minimum payroll experience; AP experience preferred but not required
  • Bachelor's degree preferred
  • Must reside in California or New York
  • Knowledge of Federal, California & New York payroll regulations and requirements including NY Fair Workweek laws and California overtime rules
  • Proficient in spreadsheet software (Google Sheets and/or Microsoft Excel)
  • Exceptional time management skills and ability to meet deadlines
  • Must be authorized to work in the U.S.
  • Ability to maintain confidentiality and protect sensitive information
  • Possess strong organizational skills and attention to detail
  • Retail/ Food & Beverage industry experience desired
  • Experience with When I Work, Toast payroll, Expensify all a plus

Pay Band: $51,000-70,000/annually
