Job Summary:

Manages the payroll and benefits team to complete monthly and quarterly payroll processing. Works closely with the Human Resources team with projects involving compliance research, audits, and collecting pending documentation/information from personnel or management. Maintains strong relationships with operational, administrative and support leadership to ensure the needs of the business are being met from a payroll and benefits standpoint.

  • Responsible for managing the preparation and processing of semi-monthly and other ad hoc payroll cycles for employees (hourly, non-exempt and exempt); reviews and ensures accuracy of approved time sheets.
  • Provides management oversight of a team of 2+ Payroll and Benefits Coordinators, ensuring the following tasks are consistently performed:Establishing/maintaining employee records; ensure that employee changes are entered correctly and made on a timely basis; review changes for proper authorization and adherence to company policy including compliance with federal, state, and local regulations.

Compiling payroll data such as Paid Time Off, insurance and deductions.
Processing garnishments, child support orders, tax levies.
Contacting various department supervisors for any missed times.
Compiling internal management reports from payroll system software.
Auditing time and attendance for integrity.
Completion of department’s Year-end Processes (Employee Payroll Memos, Bonus, and W-2 distribution).
Administering all employee benefit group plans including enrollments and terminations. Processes required documents through payroll and insurance providers to ensure accurate record keeping and proper deductions. Serves as the COBRA Administrator for company.
Resolving discrepancies with carriers, payroll and the company.
Coordination with insurance companies to resolve employee insurance issues.
Completion of annual open enrollment process each year, including: compiling materials from carriers, communicating changes to employees, analyzing benefit cost changes and answering employee questions.

  • Serves as the primary contact in the benefit audit process.
  • Coordinates and leads annual 401k enrollment meetings.
  • Ensures accuracy and completeness of workers compensation documentation & enrollment.
  • Manages and periodically reviews payroll and benefits policies.
  • Assists the training development team with leadership training as it relates to payroll and benefits compliance.
  • Updates and presents weekly KPIs and provides monthly payroll and benefits reporting to management.
  • Approves, processes and witnesses terminations and other employee departures as requested by HR.
  • Special projects as needed.
  • Performs other related duties as assigned.

Skills:

  • Extensive knowledge of payroll and benefits compliance and laws
  • Excellent skills using MS Word, Excel, PowerPoint and internet
  • Ability to maintain strict and complete confidentiality
  • Excellent attention to detail

  • Possesses strong verbal, written and interpersonal skills

Education and Experience:

  • High school diploma or equivalent
  • Human Resources degree and/or certifications preferred
  • 5+ years of previous payroll and benefits experience
  • Experience working with HRIS systems, Paylocity experience preferred

Physical Demands:

  • Stationary position for 8-10 hours a day
  • Repeating motions that may include the wrists, hands and/or fingers.
  • Visual acuity, speech and hearing, hand and eye coordination and manual dexterity necessary to operate a computer keyboard and basic office equipment.
  • To perform this job successfully, the employee is frequently required to remain in a stationary position. Daily movements include sitting, standing, operating computers and other office equipment and moving about the office. The employee must be able to communicate via email and verbally via telephone.

Working Hours/Days:

  • Full time
  • 40 hours
  • Works assigned 8-hour days and is available to work overtime at the request of management
