Position: Full- Time Payroll Assistant

POSITION PURPOSE:

The Payroll Assistant, under general supervision of the Vice President of Human Resources, performs a variety of administrative functions in support of the payroll department. Duties include but are not limited to maintaining confidential records, onboarding support/trouble shooting with field operators, processing garnishments, some VoE’s, and coordinating with outside payroll resources. This position provides general information and supports all field operations.

DUTIES & RESPONSIBILITIES:

· Answer phones calls

· Answer emails

· Prepare for weekly meetings

· Assist field operators with new hire onboarding and troubleshooting when needed.

· Assist daily with creating labels and tracking of manual checks.

· Log and track forms

· Primary contact for inquiries and phone calls.

· Always maintain a high level of confidentiality due to the sensitive nature of the information within the department.

· Process incoming mail, determine any action necessary, and route and file documents to the appropriate area/individual.

· Process Garnishments, LOA’s, some VoE’s

· Log and track Direct Deposit Enrollment Forms.

· Process enrollments, changes, and cancellations.

SKILLS, KNOWLEDGE & ABILITIES (SKA’s) –

· Basic competence with a variety of computer applications including word-processing, spreadsheets, databases, on-line systems, Internet as well as online calendaring and email.

· Thorough knowledge of English grammar, spelling, and punctuation.

· Excellent communication skills: ability to effectively communicate information in a clean and understandable manner, both verbally and in writing.

· Demonstrated customer service experience requiring a very high level of diplomacy and professionalism.

· Demonstrated ability to maintain a high degree of confidentiality.

· Ability to initiate, establish, and foster communication and teamwork by maintaining a positive, cooperative, productive work atmosphere in the office with the ability to establish and maintain effective working relationships within a diverse population and with those from various cultural backgrounds.

· Ability to learn, interpret independently, and apply a variety of complex policies and procedures. Able to identify deviations from applicable policies.

· Thorough knowledge of office methods, procedures, and practices.

· Ability to apply independent judgment, discretion, and initiative to address problems and develop practical, thorough and, at times, creative solutions.

· Ability to perform standard arithmetic functions of a transactional nature, including tracking and comparing data.

· Ability to respond to routine inquiries and explain standard policies and procedures to others.

· Excellent organizational and time management skills with the ability to set own priorities to coordinate multiple assignments with fluctuating and time-sensitive deadlines.

· Possesses a customer-oriented and service-centered attitude.

· Ability to act as a front-line contact with field employees.

· Demonstrated competence in effectively presenting standard information in writing.

· Regular and reliable attendance is required.

PREFERRED QUALIFICATIONS:

· Experience in a Payroll department environment desirable

· Fluent in Spanish preferred (read, write, speak)

· Experience with Paychex Flex a plus but not required

PHYSICAL DEMANDS: SEDENTARY WORK – involves mainly sitting; minimal walking and standing; lifting light weight objects.

Job Type: Full-time

Pay: $17.00 - $23.00 per hour
