The Phone Receptionist receives and directs in-coming calls and visitor, to the appropriate WIRG staff, expeditiously and professionally, to ensure provision of quality customer service skill to meet WIRG goals.
Responsibilities:
- Handle high volume of incoming calls for Executives, Administration, and other WIRG Staff.
- Greet and announce visitors to the appropriate Executive, Administration or WIRG Staff
- Assist and/or schedule Monitoring Room(s) and Conference Room as required by Regulatory Affairs, Clinical Research Coordinator, or Administration
- Set-up conference calls
- Maintain Monitoring Rooms and Conference Room clean and supplied with refreshments.
- Assist with ordering and setting-up refreshments and food provisions for meetings and visitors.
- Correlate and distribute correspondence to the appropriate WIRG Staff.
- Ensures and maintains safety and comfort of visitors.
- Participate in collaborative team efforts with other departments.
- Maintains accurate sing-in/sign-out courier logs for all out-going and in-coming packages.
- Recognize the need to seek assistance or inform supervisor of specific issues.
- Assist with volunteer telephone screening as required. Complies with all WIRG policies and procedures, especially those regarding protocol confidentiality.
- Performs other duties as assigned.
Skills and Qualifications:
- High School Diploma or GED
- A minimum of six months experience as a Customer Service Representative required
- Clear pronunciation and speech required.
- Switchboard experience preferred but not required.
- Basic computer skills, including knowledge of Microsoft Office are required.
- Bilingual skills are preferred but not required.
