The PMO Operations Director will support the Technology and Data Solutions (TDS) Portfolio Management Office (PMO) by directly overseeing the technology intake request and project financial reporting functions, project prioritization, lifecycle, governance, resource planning, analytics and reporting for the PMO, process management, and a team responsible for those tasks.
The Director will be responsible for the operational logistics of the entire intake and demand process, ensuring requests adhere to standard process throughout entire workflow, from submittal to approval. This role is also responsible for project resource planning and project financial reporting as the team continues to expand.
The role will require an in-depth understanding of PMO operations. The Operations Director will partner closely with TDS, business, and portfolio leaders in ensuring new technology requests have the appropriate level of detail for proper evaluation by our technology stakeholders. Excellent communication and collaboration are imperative to success.

This role will require experience in process improvements and documentation. The Director will need to work collaboratively cross-functionally to identify best practices and areas for improvement, deliver standardized processes, and effectively train those affected by the change. The Director will also be responsible for the coordination of standardized reporting and project delivery templates, their housing and communication out from the repository to the PMO, and training required to implement.
Other responsibilities will include ensuring that projects are adhering to expected delivery metrics and reporting meets audit criteria for continuous improvement of both PMs and the PMO. The role will further ensure that project time entry is evaluated against projections. The Director will also ensure project actuals and forecast are updated by project managers monthly.

Financial acumen is key for this role with responsibilities including assessment during intake, validation and reporting on monthly/quarterly/annual basis’, and in keeping alignment across TDS PMO general budget.

The Director will further capture and report on operational and change management impacts.

The Director should stay up to date regarding CW current technology solutions in Global and other Regions, plus potential Proptech solutions that could add value to CW and identify where they could be implemented drawing from a consistent awareness of the technology pain points of Global CW.

Ongoing identification of process improvement opportunities are key to staying relevant and adapt to the business’ digital requirements.

Core Responsibilities:

  • Works hand-in-hand with Head of Program Management across TDS PMO; closely tied-in with portfolio leaders, EMGs, SMGs – also finance and regional PMO leaders
  • Point person on annual AOP process and deliverables with leaders including initial validation, deliveries, prioritization, case creation into the tool, communication, etc.
  • Delivery management owning final review of projects pre-go-live, management and facilitation of projects through phasegate process including preparedness of presentations
  • Standardization and integration in tools and templates integrations such as SmartSheet gold standard, presentation expectations for phasegates, PRB decks, etc.
  • Point person for new tools including TDS-specific training or the point person for train-the-trainer and additional mentoring sessions
  • Development of cohesive TDS communication around standard best practices for reporting and data recorded in tools such as SmartSheet and Jira, etc.
  • Creates and manages documentation and rollout of processes and standards such as PMO Guidebook and Onboarding
  • Own development and/or upkeep of operational PMO leveling for TDS such as capacity planning, TDS project roadmapping, prioritization planning, interdependencies and impact planning, etc.
  • Manage the project technology request lifecycle
  • Ensure that appropriate C&W governance and analysis are applied to each technology request
  • Partner with the Enterprise Architecture team to ensure solutions align and are the best fit from an architectural perspective and that documentation produced includes detail necessary for their sign off
  • Monthly reporting on TDS portfolio financials
  • Ensure project time entry is conducted by PM’s and project team members in a timely manner
  • Develop and maintain good relationships with key Senior business stakeholders to gain a deep understanding of requirements and wider strategic objectives to be achieved from requests
  • Gain a deep understanding of TDS Products and services to effectively communicate the value proposition and benefits
  • Work with the C&W Futures Group and identify innovations and new technologies that could add value to business strategies
  • Collaborate with the Communities of Practice to ensure Evaluation Processes, Documentation Templates
  • Ensure that operational risks and issues are for all options investigated are considered, documented and highlighted to TDS Leadership and Business Stakeholders
  • Maintain regular progress meetings and continuity with the relevant business owner and Steering Committees and Approval Boards
  • Ensure regular updates are provided to the requestors of technology requests
  • Responsibilities may vary within the range of tasks and activities described, with specific objectives being set, documented and reviewed by the Head of Portfolio Management
  • Ensure that the technology requests are transitioned to Projects and Programs following a formal gate review process
  • Manage relationships with variety of stakeholders to influence and negotiate on schedule and deliverables where applicable
  • Stay abreast of the new trends and tools in IT Project Evaluation, Business Analysis and Solution/Enterprise Architecture.

Qualifications:

  • Degree in business, accounting, finance, or technology
  • Minimum of six years PMO experience
  • A minimum of four years of related technology experience
  • Demonstrated success managing stakeholders, customer and/or clients
  • Experience of the full IT project lifecycle and project methodologies including working with commercial industry Infrastructure, applications and delivery of large programs
  • Blend of experience across business operations and technology, including support of enterprise change management.
