ROLE OVERVIEW
The Program Coordinator works collaboratively with TechChange Events Team members to support the planning, execution, and wrap-up for interactive, well-produced events in a variety of virtual and hybrid formats.
Program Coordinators manage multiple work streams, primarily in (but not limited to) the areas of platform configuration, data reporting, design coordination, and event execution. Success is achieved through the successful configuration of the event platform and all relevant tools to fulfill partner and participant needs, support to Program Managers to foster healthy, productive client relationships, and engagement with external providers such as video editors, designers, and technical moderators to ensure event deliverables are completed in accordance with project timelines. Program Coordinators aim to ensure positive experiences and feedback from event participants, speakers, and organizing committees alike.
PRIMARY ROLES AND RESPONSIBILITIES
Program Coordinators report to the Director of Virtual and Hybrid Events and support Program Managers in preparing for, delivering, and closing out events from project kickoff to final deliverable. Responsibilities include but are not limited to the following:
Event preparation:
- Support the collection and migration of content from the event partner to the event platform for participant viewing
- Prepare the technical backend for sessions, including Zoom, Microsoft Teams, Vimeo, and Youtube streaming configuration and quality assurance
- Coordinate the production of graphics for the platform and for production with internal and external stakeholders
- Manage participant registration configuration, communications, and reporting
- Support the technical team with agenda uploads and platform design/theming
Event delivery:
- Oversee technical moderation during live session blocks, from pre-session preparation to session opening/livestreaming and closure for all session blocks
- Troubleshoot and jump in as needed if/when any technical issues arise
- Manage participant communications via the helpdesk chat, support email, and pop-up platform notifications
- Provide real-time support for participants engaging in networking sessions
Event closeout:
- Trim and upload session recordings to revisit on the platform
- Collect data and compile event reports to share with partners
SKILLS AND QUALIFICATIONS
- Bachelor's Degree or 2+ years of comparable experience
- Competent collaborator; can-do team player
- Proactive and able to complete tasks according to established deadlines
- Attentive to detail
- Process-oriented
- Ease with technology; able to pick up new tools and platforms quickly
- Professionalism in communications with team mates, service providers, and clients
- Passionate about bringing people around the world together for conversations on topics including digital rights, global public health, international development, and more
- Familiarity with the social sector, nonprofits, INGOs, civil society, or government desired but not required
- Fluency in English required. Fluency in additional languages highly valued.
COMPENSATION
$25/hour
WORK ENVIRONMENT & CAPABILITY REQUIREMENTS
Fully remote. Position will require extensive time sitting or standing and viewing computer screens. Due to the nature of supporting clients in other time zones, there will be occasional hours outside of Eastern Time, particularly in periods of live event delivery.
