The Program Coordinator plays a vital role in implementing MAAC’s Unidos in Finance Program, a comprehensive job training program for bilingual adults that prepares them for entry level careers in financial services. Under general supervision, the Program Coordinator will assume responsibilities including program implementation, leading outreach activities, providing job search and other related supports to program participants, processing applications, partner/volunteer engagement, and overall coordination of program/contract requirements. The Program Coordinator must be organized, detail-oriented, and able to independently manage their workload schedules based on the needs of the program(s).
Essential Functions & Responsibilities:
- Direct Service
- Provide individualized guidance and support to participants to help them complete the job training and secure employment in a closely aligned field;
- Conduct needs assessments and make referrals and/or provide direct aid to mitigate barriers to their participation in training and work;
- Outreach and Education
- Coordinate online and in-person workshops, events and various grassroots marketing, education and outreach tasks;
- Participate and present program information and updates at events, webinars and workshops (working on evenings and weekends may be required);
- Steward and manage partnerships with other agencies to ensure successful promotion of the program; may include coordinating and attending meetings with partners and proactively following up to provide additional guidance and assistance to partners;
- Work with MAAC’s Marketing Department to draft and update marketing collateral and presentation slide decks;
- Field inquiries about program requirements;
- Respond to requests for information;
- Program Coordination
- Participate in meetings with funders, employers, local government, services agencies, and community-based organizations as requested;
- Provide overall operational support to the Program Manager and Director of Economic Development;
- Provide logistical and administrative oversight;
- Recruit, coordinate and steward volunteers;
- Monitor daily activities to ensure that program/contract goals are met;
- Make recommendations on program design, including drafting Standard Operating Procedures (SOPs), Cheat Sheets, program email templates and correspondence;
- Document efforts and outcomes in various data management systems;
- Create program reports as needed;
- Course Facilitation
- Assist instructor in a classroom setting;
- Help grade papers and tests;
- Organize learning materials;
- Familiarize participants with instructional platforms and troubleshoot technical issues as needed;
- Application Processing
- Process applications; enforce application procedures and standards;
Perform other duties as required.
Essential Knowledge, Skills, and Abilities:
Required:
- Associate’s degree and 2+ years of related experience (administrative and outreach);
- Proven track record of effective program coordination;
- Bilingual-reading, writing and speaking in both English and another language (Spanish preferred);
- Extraordinary attention to detail, organizational and problem-solving skills;
- Excellent customer service, interpersonal, verbal, and written communication skills, and the ability to build strong professional relationships over the phone and in person;
- Ability to work effectively under deadlines;
- Demonstrated fluency in using standard office software packages (MS Office: Access, Excel, Word, PowerPoint, Outlook);
- Familiar with standard office procedures, filing, telephone techniques and operation of office equipment;
- Ability to learn complex concepts, procedures and policies quickly;
- Comfortable with emails, scheduling, conference calls and other common office communications;
- Valid California Driver’s License; insurable in the State of California. Must own a licensed and registered vehicle and be willing to use it for work-related purposes;

HEALTH STATUS
Must have a physical examination, TB clearance and a drug screen by a doctor/clinic designated by MAAC as well as immunization records for influenza*, pertussis and measles as required by state and federal regulations prior to the first day of employment.

While performing the duties of this class, an employee is regularly required to stand, walk and sit, talk or hear both in person and by telephone, uses hands to finger, handle or feel objects or controls, reach with hands and arms. An employee also is regularly required to stoop, kneel, bend, crouch or crawl, climb or balance and lift up to 50 pounds. Specific vision abilities required by this job include close vision, distance vision, depth perception, color vision and the ability to adjust focus.
Mental Demands

BACKGROUND CLEARANCE
All positions are subject to a background/education check, DMV check, NSOR, exclusion and debarment checks prior to hire and periodically throughout employment as required by various funding sources.
Note: California Start law requires background criminal checks on anyone who works in a licensed childcare facility who is not a client. Must have or obtain a current criminal background check clearance, signed criminal record statement, and signed Acknowledgement to Report Child Abuse form prior to the first day of employment.
TRANSPORTATION
Must have and maintain a valid California Driver’s License, daily use of a personal, insured vehicle, and have and maintain a motor vehicle driving record acceptable to MAAC’s insurance carrier. Incumbents will be enrolled in the California DMV Pull Program.
