Summary
Under the supervision of the Sr. Manager, Community Engagement and Social Impact this position
will have the responsibility for coordination and financial tracking of flex funds programs in the SPA 6 Coordinated Entry System (CES), support regional project coordination for events, support administrative tasks for community-related convenings, and adhere to tasks needed for regional communications. S/he will provide administrative support, navigation, system specific knowledge, and direct service assistance to the agency and community partners. S/he will be responsible for maintaining positive customer
service, updating tracking systems, projecting budget areas for reporting, communicating to partnering
agencies, and supporting other CES- related events and our communication needs in SPA 6.
Essential Functions
- Must know, understand, and be able to apply the HUD definition of homelessness and chronically homelessness
- Must possess knowledge of SPA 6 CES and be able to articulate this information to community stakeholders through verbal and written communications
- Oversee flex funds projects through tracking and report administration
- Ideate and cultivate strategic ways to portray information in effective ways vastly to SPA 6 community partners (i.e. mass email, social media, etc.)
- Respond to requests and reference guidelines for submissions before approval
- Provide accurate and timely responsiveness to agency and community partners
- Maintain budgets and financial processing system
- Maintain accurate up to date tracking log of all SPA 6 CES financial assistance
- expenditures
- Review and submit CES financial assistance packets in accordance with SPA 6 CES
policies and procedures
- Provide optimal customer service when addressing concerns an/or inquiries
- Participate in all community-related meetings
- Ongoing evaluation and assessment of processes in relation to required projects and relay to
Sr. Manager
- Provides SPA-wide communications through mass email software, and/or social media efforts
- Ideates material to demonstrate funding updates and language for understanding of other providers
- Support CES Regional Coordination efforts for SPA 6 CES
- Maintain accurate and updated documentation
- Understanding of how to create flyers/ presentations/ spreadsheets/ and social posts
- Collaborate effectively with HOPICS CES subcontracted agencies and community partners
- Administer appropriate cultural messaging appropriate for homeless service providers
- Support social media campaigns, internal, and external campaigns, and SPA-wide efforts
- Knowledge, skills and professional practice with State/ Federal/Government contracts and grants
- Ongoing participation in CES meetings hosted by LAHSA and United Way
- Submit timely reports to Sr. Manager and SPA 6 CES funders weekly and monthly
- Ensure confidentiality of client information in accordance with HIPPA, and CFR 42 confidentiality laws and HOPICS policy
- Perform any other appropriate responsibilities as assigned by Sr. Manager
- Ability to facilitate training around proper submission of CES-related documents
- Adhere to SSG’s Code of Ethics and HOPICS’ Core Values
- Represent the Agency in a professional manner at meetings and community events
- Assist and support all SPA 6 related events as needed
Minimum Qualifications - Knowledge, Skills and Abilities Required
- BA/BS Degree and/or MA/MS Degree and (1) year’s job-related experience work with the homeless populations or (4) year’s experience in homeless services with in-depth knowledge of Microsoft & Google suite.
- If in recovery, a minimum of three (3) years of being drug and alcohol free is MANDATORY
- Ability to work with clients from diverse cultural, ethnic, and socio-economic backgrounds
- Moderate computer word processing skills necessary; must have experience with
- Microsoft Suite, Canva, and Google Suite. Constant Contact knowledge preferred
- Ability to communicate effectively, both written and orally
- Verification of Employment Eligibility and Background Clearance.
- TB test required (Not more than (3) month prior to or (7) days after Date of Hire and
- renewed annually thereafter).
- CPR and First Aid certification required within 30 days of employment with the company.
- Must have a valid California Driver’s License.
- Environmental Conditions (Working Conditions)
- Exposed to highly aggressive clients: must communicate with many sources including
- public paying agencies, courts and outside community agencies: some evenings and weekends may be required, sometimes noisy, loud and disruptive clients.
Mandatory Covid19 Vaccination Requirement
- COVID-19 Vaccination Required: All staff is required to be fully COVID-19 vaccinated and to submit vaccination records to the HR Department during new hire orientation.
- Fully COVID-19 vaccinated (2 weeks from last vaccination dose to be considered fully vaccinated)
- Negative COVID-19 Test: All new staff must provide a negative COVID-19 test. PCR test results can be submitted prior to the first day of employment to recruitment@hopics.org. Rapid antigen tests are also acceptable; however, they will be performed onsite to verify results.

This position does not have any supervisory responsibilities.

Work conducted in an office and/or remote setting.
Physical Requirements
The Project Coordinator typically spends time sitting, standing, typing, thinking, writing, walking, carrying (max. 25 lbs.), listening, speaking. Driving required as needed.
Mental Requirements
This position will require the individual to be able to handle any/all the following: constant distractions, interruptions, uncontrollable changes in priorities/work schedules, be able to process information, think and conceptualize.
