Scope of Position
Provide project and administrative support to Associate and Project Directors and other project specialists for Division-wide activities including monitoring / tracking of program progress, coordination and flow of data collection, preparation of reports including analysis and chart / graphic development. Coordinate, schedule, and help conduct meetings and conference calls, record and distribute meeting notes / minutes, correspondence, use of collaborative work space, and other necessary project and administrative tasks (e.g., maintaining up-to-date contact information and email distribution lists).
Key Measurable Expectations
- Works with Associate Dean and Project Directors, and other project specialists on tasks to provide comprehensive support for day-to-day operations for all grants and projects, primarily those outside of the traditional adult education funding streams.
- Works with the directors in the collection of key evaluative data from students and partners and in that capacity helping to ensure data integrity and reliability, and the maintenance of communications platforms.
- Supports the Associate Dean and Project Directors with the maintenance of data dashboards to help reflect the breadth and depth of the services and outcomes of the department.
- Maintains accurate records through establishing sound filing systems for financial and programmatic data and information, working together with all project-level staff.
- Provides support services for Associate Dean, Project Directors and other project level staff such as the preparation of minutes from meetings, preparation and scheduling of meetings, as well as project staff meetings.
- Aids in the preparation of necessary spreadsheets for Project Directors and other specialists.
- Maintains and prepares correspondence with partners related to grant projects.
- Works with the Associate Dean and Project Directors, other specialists, and Finance department for preparation of required quarterly financial reporting.
- Assists with the preparation of various letters, memos, forms, policies, manuals and other documents related to maintaining regular communication within the consortium.
- Maintains office supplies and equipment.
- Performs assignments with highest degree of confidentiality.
- Other duties as assigned.
Minimum Qualifications:
- High School diploma or equivalent;
- Two year’s experience of program or office management;
- Strong interpersonal, oral, and written communication skills;
- Proficient in computer software applications including Microsoft Word and Excel, with the ability to create charts and graphs, etc.;
- Excellent proofreading skills and attention to detail;
- Ability to multitask and demonstrate flexibility in work schedule-see “Other Requirements” below;
- Ability to work under pressure;
- Demonstrable organizational skills to effectively meet deadlines and support Director and staff to meet deadlines.
OTHER REQUIREMENTS
- Must demonstrate willingness to travel within the Lewis & Clark system between the Godfrey Main Campus and the Scott Bibb Center in Alton without additional compensation as is needed.
Preferred Qualifications
- Associate Degree;
- Experience with federal grants;
- Prefer experience with interactive data visualization software, such as Tableau or Power BI.
