Job description
The City of Anaheim Public Works Department seeks a dynamic clerical Part Time Office Specialist II and Part Time Senior Office Specialist professional. These clerical classifications perform varied clerical work involving use of computer and various software. Duties typically include various office support functions, including but not limited to, reception to the public, assisting customers using a multi-line phone system, performing data entry and filing, and other office operations-related functions. The Senior Office Specialist may be responsible for special projects or programs and supervision of other support staff. This recruitment may be used to fill both full time and part time positions for current and future vacancies.
The City reserves the right to determine the qualification of the candidate as an Office Specialist II or a Senior Office Specialist. This is a part-time position usually averaging 30 hours per week. A minimum number of hours is not guaranteed.
The selected individual will provide competent, consistent and professional services using the following skills:
Effective communicator – strong verbal and written communication skills, computer and presentation skills.
- Exceptional Customer Service – provides responsive customer care and maintains level of service expectations, including investigating and answering inquiries and providing assistance in resolving operational and administrative issues.
- Strong Attention to Detail- be able to identify discrepancies, review reports, accurately take payments.

Experience: Performing varied journey-level clerical work. When assigned to the classification Senior Office Specialist candidate must possess experience performing extensive, responsible and varied typing, record keeping, report preparation and other clerical work.
Knowledge of: Modern office equipment, procedures, practices, and equipment; personal computer hardware and software, including word processing, spreadsheet, and database programs; proper telephone etiquette; English usage, spelling, grammar and punctuation; basic math; and record keeping methods. When assigned to the classification Senior Office Specialist candidate must demonstrate knowledge of purchasing techniques; business math; computer terminals and associated software; basic principles of supervision and training may be required.
Ability to: Keyboard at a net corrected speed of 40 words per minute (50 words per minutes for Senior Office Specialist) from clear copy; learn to efficiently operate a computer terminal and use associated software; accurately transcribe recorded information into a readable format; effectively answer and process telephone calls; read, understand and apply moderately difficult materials; prepare accurate and clearly understood statistical reports; understand and carry out oral and written instructions; understand pertinent procedures and functions quickly and apply them without immediate supervision; maintain confidentiality; handle multiple priorities, organize workload, and meet strict deadlines; establish and maintain effective relationships with those contacted in the course of work; maintain professionalism, courtesy, and composure at all times, including stressful situations. For public contact positions, incumbents must have the ability to interact with a wide variety of clientele while retaining a professional work environment.
License/Certification Required: Some work assignments may require possession of a valid California Class C driver's license.
