Job description
Project Coordinator/Customer Service:
1. Reviews orders received for price and quantity accuracy.
2. Communicates often and builds relationship with Sales Representatives in order to have an overall picture of the expectation of the customer.
3. Enters orders into SAP in a timely manner and maintains all project information and documentation for all Quotes/Purchase Orders that are processed.
4. Computes costs, sales representative s commission, taxes where applicable and shipping charges as required
5. Informs customers of updated unit costs, shipping date, anticipated delays and any additional information needed by the customer. Responsible for directly supporting the customer during the course of the project lifecycle.
6. Ensures all paperwork is accurate and sent to and received from the customer, following -up as necessary.
7. Prints order documents and forwards to the customer service manager for review.
8. Confirms material is allocated or ordered and follow-up with Procurement Manager regarding material arrival date.
9. Prepares all production documents and inserts them into specific notebooks for the Production Coordinator
10. Follows up on orders sent to production to ensure delivery by specified dates.
11. Checks shipping orders to ensure they are accurate with regard to quantity shipped as well as updated freight costs.
12. Specifies if special labeling or packaging is required for shipment and communicates to the production and shipping departments.
13. Prepares documents including customized reports, KPIs and correspondence. Updates various databases as required.
14. Records customer complaints and works with Customer Service Manager to improve the customer experience. Works collaboratively with all internal resources to ensure the highest levels of customer satisfaction are maintained.
15. Confers with production, shipping, warehouse or common carrier personnel to expedite or trace missing or delayed shipments.
16. Learn customer processes and tools and support customer requirements. Answers questions from customers or directs them to the person able to assist them.
17. Maintains customer name and address database and confirms all contact information is updated and correct in SAP.
18. Follow up with customers regarding projects in the backlog weekly or monthly based on customer material requirement date.
19. Creates Sample Requests and follows up to ensure shipment occurs in a timely manner.
20. Creates shipping document for carrier whether sent at a cost to customer or as a no charge replacement

This is a full-time position. Days and typical hours of work are Monday through Thursday, 8: 00 a.M. To 5: 00 p.M. And Friday 7: 00a.M. To 4: 00 p.M. Some flexibility in hours is allowed, but the employee is required to give the Project Manager ample notice, so the Project Coordinator s workload can be divided to others in the department.

Travel
Occasional travel may occur for further training or to enhance customer relations.

Required Education and Experience
1. High school diploma or GED diploma, or one to three years related experience and/or training, or equivalent combination of education and experience.
2. Must be proficient in Microsoft Office applications and Outlook.
3. SAP or other equivalent ERP software knowledge is a must.
