Major Responsibilities/Activities/Essential Functions:

· Demonstrates cultural sensitivity and awareness of diversity issues with all clients regardless of race or sexual orientation in all communications. Demonstrates basic understanding of poverty, mental health, and substance use disorders, as well as mandated reporting of child abuse and neglect, elder abuse and neglect, neglect of those with developmental disabilities, unusual incidents, and incident reporting.

· Manages multi-line phone in a professional and timely manner.

· Greet and check in all clients in a friendly yet professional manner.

· Collect all client payments enforce client payment policy and insure payments are applied to the correct client within the electronic health records system.

· Schedule future appointments for established clients when necessary.

· Process all incoming US mail and distribute appropriately.

· Process all payments received in the mail; all cash/checks/credit card payments and register payments on the daily cash log for deposit. Immediately notify the finance department once complete.

· Process all incoming faxes and distribute appropriately to the correct staff or department.

· Collect, scan, and upload the necessary info for intake clients

· Set appointment reminder calls for the following day

· Upload scans by the end of each shift

· Maintain the scans folder

· Review, scan, and upload intake forms into ECR

· Maintain cleanliness of the lobby

- Meet with clients to obtain Insurance and Income to set up on sliding scale

-Call clients to go over income guidelines

Minimum Requirements (Include education, experience, special skills and licenses or certifications required).

· High School diploma or equivalent

· 2-3 years office work experience, and working knowledge of Microsoft Office Programs

· Trained and knowledgeable in HIPAA compliance, HITECH Act, and CFR 42. Part 2.

· Electronic health records, medical records, medical office practices

· Associate degree preferred.
