THE ROLE
The SP family is growing and we are ready for a Constructions & Facilities Administrative Assistant. In this role, you will get to work closely with our VP of Construction and our amazing Facilities team. We are looking for a high-energy, “can do” individual that enjoys a fast pace and diverse workload in a dynamic environment! Experience with commercial construction and facilities management is a plus.
THIS IS WHAT A DAY AT WORK MAY BE LIKE…
- Respond to and process work orders immediately to achieve rapid response times with retail locations, District Managers, and vendors.
- Contribute to a culture of rapid turnaround, and extremely high-quality Customer service for our District Managers and retail associates.
- Prepare and distribute work order status reports, and update/maintain readiness dashboard.
- Schedule and coordinate all maintenance needs and document communication within the facility's software.
- Maintains a variety of records, supplies, calendars, schedules, and files to provide documentation in accordance with administrative and legal requirements.
- Identification of needed capital expenditures, scope requirements, estimating budget requirements, contracting of work, and timely completion of projects.
- Ensure that coordination and regular communication of the overall project occurs between key stakeholders.
- Assist Facility Management Team with tactical planning/ Following through on all work orders to ensure completion of every level/priority.
ABOUT YOU…
- Project management, Operations, or Facilities experience.
- Computer Savvy, keep in mind this is an office job
- Available to work regular & non-traditional hours, including nights, weekends, and some holidays.
- Written and verbal communication skills with strong attention to detail, organization, and time management
- Ability to troubleshoot and resolve basic in-store repairs via pictures, phone calls, or facetime with store personnel without the need to dispatch a tech for said repairs
- Excellent understanding of preventive, corrective, and predictive maintenance programs.
- Team player with a strong work ethic
- Driven, expected to take initiative, and provide long term solutions to issues that arise
IT WOULD BE GREAT BUT NOT COMPLETELY NECESSARY TO HAVE…
- Ability to read and interpret construction drawings and electrical wiring diagrams.
