Health Benefits, a nationwide Third Party Administrator is currently seeking a Sales Support Assistant. Please note that in this position you will be primarily working remotely; however, you must be able to drive to our Overland Park, KS office on occasion io organize large RFP's when necessary.


Overview of Role:


The Sales Support Specialist will assist our Sales Executives, Region Presidents, Client Management, Underwriting, and Sales Support staff with new business and renewal sales and client management activities.

Key Accountabilities:


RFP Questionnaire Team Support

  • Monitor RFP site, create folders, download files, validate RFP specification forms, and provide same day notification to staff working on proposals.
  • Research and secure references.
  • Update responses from vendors and subject matter experts as they are received and apply appropriate edits to proposals.
  • Organize and maintain third- party vendor information as directed.
  • Use Table of Contents provided by Proposal Analyst to create response folders and pull in attachments; WinZip folders and update attachment names so appropriate titling for current proposal is reflected.
  • Maintain, print, assemble, and ship binders as requested,
  • Populate assigned executive summaries and questionnaires for proposal analyst review as directed and work through returned edits to completion.
  • Create and maintain all necessary reporting

Underwriting Team Support

  • Run reports (Salesforce, Webfocus, WCW, etc.) for underwriting team.
  • Download Anthem pre-certs.
  • Confirm all required reports are available in RFP package for stop loss.
  • For renewals pull billing instructions and administrative services agreement and input current fees into renewal proposal for underwriter to work.
  • For renewals, download automated Webfocus reinsurance report, and 50% report and store in applicable renewal folder.
  • For renewals, download and save SPDs and SBCs.
  • Send new/revised SPDs and amendments to stop loss carriers for approval.
  • Get 5500 (Schedule A from stop loss carrier and Schedule C from finance) information when requested.
  • Carefully enter contracts into PowerStepp system.
  • Notify healthcare management and reinsurance teams of contract terms sold.
  • Review of stop loss contracts

Sales and Client Management Support

  • Order supplies, giveaways, business cards, etc.
  • Make folders, download files for new business opportunities
  • Assist with PowerPoints for sales and finalist presentations
  • Provide client management support such as printing, binding, and mailing presentations
  • Prepare and setup for on-site client and new business meetings.
  • Run reports (Salesforce, Webfocus, WCW, etc.) for sales team
  • Customize Trustmark Health Benefits Capabilities proposal for new business opportunities based on Network solution proposed
  • Coordinate with sales executives on the plan for delivery of Trustmark Health Benefits Proposal to brokers, clients, and potential clients.
  • Provide other support as needed

Education and Experience:

  • High School Diploma or GED equivalent
  • 2 – 5 years administrative experience in a professional office setting
  • Previous experience supporting a team
  • Ability to communicate effectively via email and in person with all levels of an organization
  • Exceptional customer service skills
  • Demonstrated proficiency in MS Word, Excel, PowerPoint
  • Ability to learn and use other systems (Salesforce, Qvidian, PowerStepp, SharePoint, SlideBank, etc.)
  • Ability to prioritize, multi-task, problem solve
  • Proactive with good research and follow-up, and follow-through skills
  • Demonstrated organization skills and meticulous attention to detail
  • Ability to work effectively with team members on varying levels of the organization

Preferred Experience:

  • Previous experience handling Request for Proposals (RFPs)
  • Previous experience in a TPA, broker, or insurance setting
  • Previous experience with stop loss
  • Previous experience with Salesforce
  • Previous experience with event planning, booking travel, and office management
