Jay's Valet is hiring a talented and multifaceted individual to fill our Scheduling Coordinator position. This is an entry level position with the opportunity for growth working directly under our Director of Communications. You will be using communication tools to manage our external operations team and assist in the staffing of our roughly 1500 annual events.

As a successful hire, you will be responsible for learning about our operations and team composition, and assisting in successfully placing team members at different accounts, private parties, and shuttles. Additionally, you will be responsible for the administrative tasks associated with staffing and managing a large roster. Communication is key in this position as you will be working with multiple parties involved in the variety of responsibilites tied to successful event operations from start to finish.

REQUIREMENTS:

1-3 Year's Experience with the following:

• Texting (Google Voice)
• Making Cold Calls
• Managing Relationships with a Large Staff Roster
• When I Work (preferred)
• ACT! CRM (preferred)
• Excel and Google Sheets
• Project Management
• Managing Databases

QUALIFICATIONS:

• Prior scheduling experience preferred
• Experience in the service industry preferred
• Well organized with a strong attention to detail
• Must be able to multitask and prioritize
• Proficient with Microsoft Office, especially Excel
• Experience with When I Work software a plus
• Time management skills
• Strong communicator. You will be working with a team of valets to ensure all events are covered with the appropriate staff.
• Must work well under pressure
• Some nights and weekends required

RESPONSIBILITIES:

• Using calls and text to manage a large roster for staffing valet events
• Coordinating schedules around event and transportation needs
• Providing accurate and detailed information to valet managers and shuttle drivers to ensure they are successful in the field
• A willingness to work some events to get to know the team and better understand our operations
• Managing Google Sheets and Excel Documents to keep staff information up to date
• Screening new job candidates and conducting interviews
• Providing timely emails to questions from managers
• Managing administrative tasks associated with staffing
• Answering texts and call on a work phone in a prompt manner
• Ability to think on your feet and deal with issues if they arise

• From $17.29/hour (Experience Dependent)
