Job description

Under general supervision, performs secretarial, billing, and a variety of general office functions which include reception and scheduling of patients for multi discipline professionals within the Department of Rehabilitation Services.

  • Performs general secretarial work for department as assigned.
  • Maintains a professional and orderly office appearance.
  • Assists in the care and maintenance of department equipment and supplies.
  • Screens telephone calls and routes call appropriately.
  • Opens, sorts and distributes mail to appropriate personnel.
  • Maintains office supply inventory and places orders for supplies as required; verifies receipt of supplies.
  • Creates documents and spreadsheets as required using MS Word and Excel.


Department Specific Competencies


  • Answers phones, greets visitors and volunteers, explains volunteer program to prospects.
  • Maintains office files and volunteer records.
  • Assists in the preparation of annual packets, monthly schedules, and reports.
  • Assists with entering volunteer schedules, absences, substitutes and volunteer hours in database as needed.
  • Provides assistance to Volunteers, Directors and/or Coordinator, as needed.
  • Maintains maintenance care for department equipment and supplies.
  • Trains volunteers in effective use of department equipment; photocopier, computers, phones and other machines as necessary.
  • Participates in volunteer department staff meetings, orientations, educational programs and in-service meetings.
