Description:
The Task Force for Global Health is an Emory University affiliate located in Decatur, GA. Its eight programs focus on building durable public health systems that serve all people. Focus areas include neglected tropical diseases, vaccines, and health systems strengthening. The Task Force received the 2016 Conrad N. Hilton Humanitarian Prize–the world's largest award of its kind–in recognition of its extraordinary contributions to alleviating human suffering.

PROGRAM BACKGROUND:

The International Trachoma Initiative (ITI) provides comprehensive support to national ministries of health and governmental and nongovernmental organizations to implement a comprehensive approach to fight trachoma. This includes the management of the allocation and distribution of the antibiotic, Zithromax®, to treat active trachoma infections; and collaboration with our partners to implement all other aspects of the World Health Organization-recommended SAFE Strategy. ITI also mobilizes resources for trachoma control programs and provides technical assistance to countries and partner organizations, including logistical assistance. The program supports trachoma control research, program monitoring, and evaluation.

JOB DESCRIPTION:
  • Provide administrative support for the Director of ITI
  • Maintains calendar, prepares daily schedule, and prioritizes meeting requests
  • Completes monthly credit card reconciliation and business expense reports
  • Prepares charts and graphs for reports and presentations
  • Ensures Director is appropriately prepared for daily activities
  • Assists in the planning and preparation of the Director’s work travel
  • Assists with overseeing ITI office operations and ensures office activities comply with policies and procedures.
  • Develops and maintains records and spreadsheets for ITI.

  • Contractor projects hours
  • Reviews account coding for expenses on ITI staff monthly credit card reports before supervisor approval.
  • Keeps manager informed of account status, authorizes expenditures and identifies cost effective alternatives.
  • Sets up and organizes electronic and paper filing systems for ITI program.
  • Oversees ordering and maintenance of office supplies and forms for ITI program.
  • Supports the ITI program at various international and domestic meetings to coordinate and implement meeting logistics.
  • Prepare meeting supplies and materials.
  • Coordinate and manage catering duties.
  • May coordinate domestic or foreign travel arrangements (including air tickets, visas, hotels, etc.).
  • May take meeting minutes.
  • Provide communications support to the ITI program
  • Consults with management and staff to update the program website.
  • Maintaining an up-to-date contacts database.
  • Sends out program communication materials and information using the contacts database.
  • May utilize various aspects of social media to accomplish work objectives.
ADDITIONAL RESPONSIBILITIES:
  • Participate fully as a member of the Task Force for Global Health by contributing, assisting and participating in projects, activities, and initiatives as requested by management.
MINIMUM QUALIFICATIONS:
  • A high school diploma or equivalent, and six years of secretarial or administrative support experience, OR a bachelor's degree and one year of administrative support experience.
  • Proficient with word processing, spreadsheet, and presentation software applications.

PREFERRED QUALIFICATIONS:
  • Bachelor's degree preferred
  • Prior experience providing executive or senior administrative support within a medium or large sized organization
  • 3 or more years’ experience in an Executive Administrative Assistant or Sr. Secretary role
  • Proficiency with Microsoft Office (Word, Excel, PowerPoint, Outlook) and Gmail
  • Professional written and verbal proficiency in a second language used in ITI-supported countries (e.g., French, Portuguese, Spanish, Amharic, Arabic)

TRAVEL:
  • 10 -15% domestic and international travel

NOTE: This role will be granted the opportunity to work from home regularly but must be able to commute to Emory University on a flexible weekly schedule based upon business needs. Schedule is based on agreed upon guidelines of department of work. Emory reserves the right to change remote work status with notice to employee.
