Job Summary

The Executive Assistant will provide high-level administrative support directly to the CEO, Chief Clinical Officer, and other members of the executive leadership team. The Executive Assistant also serves as a liaison to various stakeholders; organizes and coordinates communications, schedules, and logistics; and independently completes special projects. The Executive Assistant must be creative and enjoy working within an entrepreneurial environment. The ideal individual will have the ability to exercise good judgment in a diversity of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities.

The Executive Assistant will be expected to maintain confidentiality and handle sensitive information with discretion. Professional stamina, exemplary writing skills, and the ability to create and maintain various office files (e.g. Word, Excel, PowerPoint) files at mastery level is critical for this role. The Executive Assistant must thrive in a fast-paced and ever changing environment and be able to work quickly, manage multiple projects at a time, and adjust quickly when priorities change.

Essential Functions

  • Provide high-level administrative support and assistance to the leadership team.
  • Manage sensitive matters with a high level of confidentiality and discretion especially decisions directly impacting the operations of the company.
  • Prepare Word, Excel, PowerPoint presentations, agendas, reports, special projects and other documents in support of objectives for the organization.
  • Ensure all written communications and presentations adhere to company style guidelines.
  • Create, proofread and edit written communications, documents, whitepapers, etc.
  • Draft and prepare correspondence for internal announcements, meetings, and organizations that the executive is involved with.
  • Assist in preparing and managing presentations and events.
  • Manages spreadsheets, databases, and online tools (e.g. Salesforce) and provides summary reports of essential information on demand.
  • Arrange travel and accommodations for executives.
  • Screen incoming telephone calls; take and deliver accurate messages; respond to requests by gathering and providing information and referring non-routine calls to the appropriate staff.
  • Respond to emails/texts/phone calls, with contact outside normal business hours
  • Welcome the Executive’s guests by greeting them, in person or on the phone; answering or directing inquiries.
  • Use discretion, confidentiality, and good judgment to handle C-Level matters.
  • Represent the company and the Executive in a positive light through great follow-through skills and sound judgment.
  • Conserve the Executive's time by reading, researching, collecting and analyzing information as needed, in advance.
  • Complete ad-hoc projects as assigned – such as personal events and/or family needs.
  • Performs office tasks including maintaining records, researching purchase options, ordering office supplies and client material supplies, keeping and managing an inventory.
  • Performs local travel and errands (post office, Starbucks, Staples, Target, etc.) as assigned by the executive team.
  • Performs other related duties as assigned.

Education and Experience Requirement

  • Master’s Degree. Major in Business Administration, English or related field preferred.
  • Minimum 3 years of related experience required.
  • Experience in the healthcare field is a plus.

  • Advance knowledge of computers and systems, experience with Apple products.
  • Extensive knowledge of office administration, clerical procedures, and recordkeeping systems.
  • Extremely proficient with Microsoft Office Suite or similar software with the ability to learn new or updated software.
  • Knowledge of behavioral health terminology and insurance terminology is a plus.
