UCAR is excited to announce the job opening for the Site Services Coordinator. This position is responsible for customer service functions and coverage of the front desk at NCAR’S Research Aviation Facility. May provide coverage at other UCAR facilities on occasion. Welcomes guests by greeting them, in person or on the telephone; answering or referring inquiries. Monitors and maintains security by performing duties including but not limited to alarm and emergency response, managing keys for RAF, issuing and recovering identification and access credentials. Serves as the primary point of contact for facility tour and visit inquiries.

Where You Will Work:
Located in Boulder, Colorado, University Corporation for Atmospheric Research (UCAR) serves and participates in a collaborative community of researchers and educators who are dedicated to understanding the atmosphere - the air around us - and the complex processes that make up the Earth system, from the ocean floor to the Sun’s core. UCAR manages the National Center for Atmospheric Research (NCAR) on behalf of the National Science Foundation and the university community.

What You Will Do:
Responsible for customer service functions and coverage of the front desk at NCAR’S Research Aviation Facility. May provide coverage at other UCAR facilities on occasion. Welcomes guests by greeting them, in person or on the telephone; answering or referring inquiries. Monitors and maintains security by performing duties including but not limited to alarm and emergency response, managing keys for RAF, issuing and recovering identification and access credentials. Serves as the primary point of contact for facility tour and visit inquiries. Provides administrative support working employees, visitors, guests and contractors. This position is required to be on-site at the Facility.
Responsibilities:
Credentialing, Safety and Security:
  • Operates security system computer, acknowledging alarms and performing data maintenance on access cards
  • Issues and recovers keys for UCAR facilities, maintains files and inventory of keys
  • Issues, recovers and maintains files on access cards and ID’s
  • Responds promptly to facility emergencies, alerting proper departments and personnel
  • Works with Security Manager and acts as dispatcher in emergencies
  • Other duties as assigned
Customer Service Operations:
  • Acts as a liaison between public and UCAR/NCAR/UCP
  • Directs employees and visitors to proper UCAR/NCAR/UCP destinations
  • Operates multi-line telephone and 2 way radios
  • Administers ECOPass distribution, inventory, registration and credentialing
  • First point of contact for most facility inquiries in person, on phone, and through email
  • Works with Site Services team on customer facing process enhancements
Assists with RAF Access Requests (in addition to the responsibilities listed above)
  • Vetting and tracking access requests
  • Delivering RAF safety and security training
  • Verifying training completion
  • Completing badge request forms/processes
RAF Tour Request Management
  • Primary point of contract for RAF tours
  • Receives tour requests
  • Provides scheduling support to also include arranging tour guides
  • Collects visitor information
  • Reports tours and walk-in visitor counts into the NCAR Metrics
  • Makes routine decisions independently. Other decisions are made in collaboration with the Security and Site Services Manager and/or RAF Facility Administrator.
  • Handles multiple tasks simultaneously and balances multiple priorities in an often high-stress environment.
What You Need:

Knowledge, Skills, and Abilities
  • Good working knowledge of and skill in using MS Office and networked computer environment.
  • Excellent interpersonal skills; ability to work with diverse groups, and demonstrated ability to work as a team player.
  • Demonstrated skill in meeting planning.
    Effective oral and written communication skills.
  • Demonstrated skill in writing correspondence with attention to grammar, spelling and format.
  • Strong organizational skills and ability to manage and prioritize multiple tasks in a busy, interruption-prone working environment.
  • Demonstrated ability to provide good customer service.
    Demonstrated ability to meet deadlines.
  • Ability to pay close, consistent attention to detail.
  • Ability to work 8 hours onsite per day during normal business hours (8:00am – 5:00 pm).
Desired but not required:
  • Working knowledge of UCAR policies and procedures.
  • Experience working in a scientific/engineering environment.
