GENERAL STATEMENT OF RESPONSIBILITIES:

Coordinates and assists with all projects in Center for Corporate and Professional Education (CCAPE) funded through federal, state or private funds. The Staff Assistant works collaboratively with the CCAPE Grant Manager and Director of Workforce Development and Training to provide administrative, coordination, and logistical support to grant-funded noncredit courses, and assists with marketing efforts, student recruitment, scheduling, instructor coordination, reporting, and data and administration maintenance.

EXAMPLES OF DUTIES:

  • Support the general administrative functions of CCAPE grant funded programs and projects including answering phones, greeting/referring/assisting visitors, customers, staff, students, or others, preparing documents and reports, compiling records, organizing and maintaining course and student information, coordinating meetings, analyzing data including budgetary expenditures, and providing general office support.
  • Assist in the day-to-day operations, administration and implementation of grant funded noncredit initiatives, projects, and training programs/courses.
  • Coordinate and assist with relationships with students, employers, instructors, and community partners.
  • Maintain and update client/community partner and student databases, course/training program tracking spreadsheets, and other related data.
  • Assist with student recruitment, enrollment, attendance, monitoring progress/status in courses, referrals to support services, course evaluation creation/review, and career placement.
  • Compile and organize information from different sources to develop agendas, meeting materials, and monthly and quarterly reports for internal, external stakeholders, and funders.
  • Coordinate and maintain grant funded financial information, assist with accounts payable and receivables, and prepare and review memos for payroll.
  • Work a flexible schedule, as position requires occasional evenings during busy periods.
  • Develop new processes or procedures relevant to the support needs of the office.
  • Other related duties, as assigned.

Job Requirements:


MINIMUM QUALIFICATIONS
:

  • Bachelor's degree or an equivalent combination of education and experience.
  • Demonstrated related experience in providing comprehensive administrative support.
  • Demonstrated ability to deal effectively with external organizations, businesses and the public, and work effectively with the campus community.
  • Demonstrated interpersonal skills and ability to work with a diverse student population.
  • Strong proficiency in MS Office applications e.g., database maintenance, spreadsheet applications, and graphics. Must be an advanced user of the Microsoft Office suite: Word, Excel, Outlook etc.
  • Excellent oral and written communication skills.
  • Demonstrated ability to work in a collaborative team model.
  • Ability to work a flexible schedule, including occasional evenings.

Additional Information:


COMPENSATION
: Annual Salary Range of $48,000-$52,000 (dependent upon qualifications). Includes participation in a comprehensive employee benefits program including option to participate in Massachusetts State Employees' Retirement System. Full-time, Non-unit Professional Position funded by Education and Training Funds Grant.
