This position will have an opportunity to work remotely. All Duke University remote workers must reside in one of the following states or districts: Arizona; California; Florida; Georgia; Hawaii; Illinois; Maryland; Massachusetts; Montana; New Jersey; New York; North Carolina; Pennsylvania; South Carolina; Tennessee; Texas; Virginia or Washington, DC.


OCCUPATIONAL SUMMARY

Provide administrative and day-to-day operational support to the leadership of the Duke Cancer Institute.


RESPONSIBILITIES

Administrative

Provided administrative support for assigned Directors including travel. Maintain highly complex calendars with attention to detail.

Maintain departmental records. Arrange, coordinate and maintain documents for long-term document storage.

Assist with onboarding new staff; arrange office space and equipment.


Meetings and Events

Plan and coordinate events and meetings, including room reservations, drafting and sending meeting invitations, drafting and disseminating agendas. Write and send all communications surrounding events. Find, plan and coordinate with event vendors.

Take meeting minutes and notes; draft and send out minutes and summaries.


Communication

Respond timely to calls, emails, and routine letters; direct inquiries to the appropriate person and escalate issues to others as appropriate.

Originate, draft, and send communications within and outside of the DCI Finance team as needed and assigned.


Finance

Take inventory, order supplies and keep the supply room stocked and organized. Manage travel, expenses, and reconcile Corporate Cards for assigned staff.

And other responsibilities as assigned.


Skills

Excellent Written, oral and conversational communication skills to effectively work with diverse groups.

Ability to analyze, evaluate multiple solutions and solve complex problems using well developed critical and analytical skills.

Excellent time management skills needed to prioritize among many competing priorities.

Attention to detail needed to operate accurately and effectively.

Mastery of Microsoft Office, especially Outlook Calendar.

Willingness to learn and adapt as the needs arise (curious and has a love of learning)

Friendly professional who is dependable and reliable.

Preferences

The preferred candidate will have experience in Microsoft Outlook and Microsoft Excel.


QUALIFICATIONS REQUIRED AT THIS LEVEL

Education/Training

Work requires a broad knowledge of clerical and accounting principles and practices normally acquired through two years of post-secondary education in secretarial science or a related business field.

Experience

Work generally requires four years of related secretarial/clerical experience to acquire skills necessary to administer complex office functions related to office management, communications, and budgetary/accounting activities.

Or an equivalent combination of relevant education and/or experience.
