SUPERVISOR OF CHILDREN’S SERVICES PROGRAMS

Department of Family and Support Services

Description

Under general supervision, the class supervises a functional area within the Children Services Division of the Department of Family and Support Services and performs related duties as required.

Essential Duties

  • Manage the grant award setup
  • Set up systems to track key timelines and deliverables in one place
  • Monitor the financial year, sub-contract dates, and other deadlines for invoicing, spending, and contracts
  • Manage multiple grants
  • Reviews expenditures, forecasting, spend downs, and fiscal accountability
  • Prepares and presents reports and financial documents that are tailored to the target audience.
  • Able to understand complex funding and cost allocation plan
  • Prepare, monitor and analyze financial information to ensure the ongoing management of finances meets approved budgets and reporting requirements.
  • Serve as the fiscal contact under Programs for sub-recipients and funders.
  • Understand specific grant requirements.
  • Coordinate the budgeting process and detail for assigned grants, contracts and Children Services Division.
  • Monitor budget and budget revision activity for grants and contracts within the Children Services Divisions.
  • Provide contract updates and budget revisions to the contract & finance team.
  • Assist with the grants and contract closeout procedures in accordance with the rules and regulations of the funders.
  • Ensure sub-recipient financial activities adhere to deliverable deadlines.

Location: 1615 W. Chicago Avenue – 5th Floor

Hours: 9:00 am to 5:00 pm

Qualifications


Graduation from an accredited college or university with a Bachelor’s degree in Early Childhood Education, Education, the Social Sciences, or a directly related field plus three years of work experience in education or social service or an equivalent combination of education, training and experience provided the minimum degree requirement is met.

Licensure, Certification, or Other Qualifications

  • A valid State of Illinois driver's license is required

Selection Criteria

This position requires applicants to complete an interview. The interviewed candidate(s) possessing the qualifications best suited to fulfill the responsibilities of the position, based on the oral part of the interview will be selected

Preference will be given to candidates possessing the following:

  • Previous supervisory experience related to the responsibilities of this position
  • Previous experience in accounting/finance/grant management/fiscal management
  • Previous experience with government public sector financial reporting requirements
  • Proficiency with MS Excel
  • Previous experience monitoring budgets and making decisions and recommendations
  • Previous experience with complex funding and cost allocation plans
  • Previous experience with Head Start Program Performance Standards
  • Previous experience with financial and numeric data
  • Previous experience managing multiple concurrent projects in a deadline-oriented environment is required.
