GENERAL SUMMARY OF DUTIES: Makes, schedules and precerts surgery appointments for patients as well as other activities for 7 physicians including meetings and medical / dental appointments in an efficient and timely manner.

TYPICAL PHYSICAL DEMANDS: Requires frequent standing and sitting for prolonged periods of time. Requires some bending, stooping and stretching and lifting up to 50 lbs. Requires eye-hand coordination and manual dexterity necessary for the operation of basic office equipment such as computer terminal, telephone and facsimile machine. Requires use of telephone. Requires hearing in normal acuity range and eyesight correctable to 20/20. Requires ability to work quickly under high stress with patients who are irritable or confused.

TYPICAL WORKING CONDITIONS: Work is performed in an office environment. Involves frequent telephone contact with patients, hospital staff and office staff. Work may be stressful at times. Interaction with others is constant and interruptive. Contact involves dealing with people with medical problems.

EXAMPLES OF DUTIES: (This list may not include all of the duties assigned.)

Greets patients in a prompt, pleasant and helpful manner, verifying necessary information and records in chart.

Schedules, coordinates and reschedules patients’ surgical appointments and necessary hospital tests office visits and referrals.

Collects copays and mails patient information about balances.

Scans and shreds documents.

Obtains information on new admissions, surgery or emergency patients for charts.

Verifies insurance coverage as necessary.

Arrange hospital transfers when necessary.

Counsel patients regarding financial aspects of surgery.

Obtains precerts as needed and notify admitting office.

Collects prepayments on appropriate surgical procedures one week to ten days’ in advance and handles credit card transactions of prepayments.

Maintains and updates current information on physicians’ schedules including meetings, vacations, depositions and luncheons.

Relays necessary information regarding schedule to physicians and other staff members.

Generates requests for prior approval letters and assists with appeals to insurance companies.

Is knowledgeable of hospital operating procedures and practices, particularly as relates to the departments of Surgery, Laboratory and Radiology.

Answers questions in person and via phone regarding patient surgical appointments and testing, returning phone messages in a timely manner.

Pull mail for insurance approvals, denials in order to inform patients.

Uses personal judgment to resolve routine matters and /or scheduling problems.

Attends seminars as necessary for continuing education keeping updated on current insurance environment and changes in scheduling problems.

Coordinates schedule with second surgery scheduler.

Obtain updated PCP referral number and verify patient insurance, copying new cared, if necessarily.

Help transport supplies from main office to satellite office as needed.

Verifies with appropriate hospitals next day surgery.

PERFORMANCE REQUIREMENTS:

Knowledge of medical office procedures including surgery procedures and practices.

Knowledge of interrelationship of surgery department with laboratory, radiology and anesthesia.

Skill in answering the telephone in a pleasant and helpful manner. Skill in operating a computer, photocopy machine, facsimile machine and other office equipment. Ability to speak clearly and concisely.

Ability to read, understand, and follow oral and written instructions. Ability to establish and maintain effective working relationships with patients, fellow employees, physicians and the public.

EDUCATION:

High school diploma.

Knowledge of medical terminology
Three to five years of surgery scheduling experience.
