PRIMARY FUNCTION:
This position assists the Construction Training Department and WIP / Warranty Supervisor in all office duties which assure a consistent and organized operation. Provides statistical reporting and administrative support to the Construction Service departments as scheduled and when needed.

ESSENTIAL DUTIES:
Training Class/Schedules
  • Provides class schedules, class announcements, reservation forms, and class confirmations to all Service Managers, and provides class confirmations to technicians.
  • Assists in preparation of and ordering of training material and media.
Plans, coordinates and delivers lunch for training classes.
Prepares training certificates for class participants who have completed each course.
  • Supports Service Managers by sharing knowledge of training records, procedures and distributing requested technical information.
  • Provide support for Dealer Performance Center scheduling, reporting, and invoicing.
WIP / Warranty
  • Prepares and updates weekly Machine Delivery/Revisit report.
  • Coordinates Daily Job Closings for Warranty
  • Complete daily WIP work order open/close report.
  • Coordinate Marketing Programs and Claims
  • Provide additional support to Warranty / WIP as needed.
  • Complete Weekly Service Call charts.
Administrative Support Con. Service
  • Provides administrative support for Construction Service including spreadsheet development and weekly or monthly reporting
  • Provide administrative support on Managerial projects as needed.
PC Utilization
➢ Enters all training records in database
➢ Maintains in-house registrations for Customer and Dealer training registrations
➢ Maintains records of class supplies
➢ Runs, edits and distributes training reports from database to Service Managers.

Invoicing/Bookkeeping
➢ Coordinates and invoices customers for training.
  • Prepares and Processes invoices for the Training Department including account maintenance on GPAX.
  • Invoice Sales department for Machine Deliveries and Re-visits
Other
  • Responsible for any additional department administrative office duties.
MINIMUM REQUIREMENTS:
Education:
  • High School Diploma (accepted) or Two Year College Graduate (preferred)
Work Experience:
  • Two Years office experience with H.S. Diploma or Two year college degree.
Physical:
  • Must be able to sit for long periods of time in front of a computer and handle phone calls and ability to occasionally lift up to 25 lbs. of materials.
Other:
  • Have the ability to communicate effectively with management, internal, and external customers.
  • Strong verbal and writing skills, intermediate level PC skills with Microsoft Office Suite.
  • Pleasant and friendly mannerism.
  • Ability to adapt to change, meet the on-going demands of the work environment, any delays, or unexpected interruptions.
  • Ability to work well as a part of a team to exhibit objectivity and be open-minded towards the ideas and views of others, give as well as welcome feedback, contribute to building team spirit, and aid others to succeed.
