Hourly Rate: $22.49, Annual Rate: $46,784.06 Effective as of: 08-16-2022
**Annual salary noted above is based on an 8 hour day and full days worked calendar. Any position that is less than a full FTE/8 hours per day or late start will be prorated accordingly.
Certain Education Support Professional (ESP) jobs may include the value of holiday pay into the hourly rate. Review the Holiday in Rate column of the Education Support Professional Job Title, Wage Plan, Grade document.
PRE-EMPLOYMENT REQUIREMENT
The successful new hire or rehired candidate will be responsible to complete and incur the fingerprinting and processing fee of $54.50 through an appropriate fingerprinting vendor and the Colorado Bureau of Investigation, within 48 hours of offer acceptance.
RESPONSIBILITIES
SUMMARY Provide support for accurately processing District wide payment documents. Maintain confidentiality and effectively communicate essential information to schools, departments, District management and vendors under strict timelines.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
Review, analyze, and input vendor invoices into Districts Financial System. Ensure invoices (PO and Non PO) are entered daily through manual entry or voucher import process
Ability to interpret/implement District policies and procedures to accurately process documents.
Organize, analyze, and prioritize payments within strict timelines to vendors, contractors and employees for purchase orders, travel, 1099, and other direct payments; or other similar responsibilities.
Audit invoices and statements for accounting accuracy bid pricing where applicable.
Review all payments on check runs for compliance with IRS and District policies and procedures.
Problem solve, cross train and share information with other team members to create a collaborative atmosphere, and assist with training of users on new programs. Assist team members with tasks as needed
Respond/research inquiries via email and phone from schools, departments and vendors on proper accounting policies and procedures. Provide guidelines for more efficient/effective methods for schools and departments to operate. Utilize the financial system to efficiently obtain information and communicate the data as needed.
Answer Accounts Payable phone line and answer emails from Accounts Payable Email box daily.
Research and process rebate, refunds, and cancelled checks as needed.
Maintain confidentiality regarding risk management, non-sufficient checks, 1099 information and personnel matters.
Maintain records for archive. Including weekly filing and yearly archiving process of records or frequency as deemed appropriate
Update and maintain vendor information within Financial System. Request additional documents from vendors when needed
Remain flexible to respond to high priority situations where immediate action is required.

EDUCATION AND TRAINING: High school diploma/GED required, and specialized advanced courses in business, technical, or vocational school or specialized knowledge/skills related to the position. College courses in accounting or business preferred.
EXPERIENCE: One year of accounts payable/purchasing experience. Experience with interactive accounts payable software package preferred.
SKILLS, KNOWLEDGE, & EQUIPMENT: Requires mathematics, writing, computer software and accounting skills. Must have oral communication, listening, interpersonal and public relations skills. Ability to operate 10-key calculator and personal computer required. Must acquire Excel, word processing and voice mail skills within 3 months of hire.
CERTIFICATES, LICENSES, & REGISTRATIONS: None required.
SUPERVISION/TECHNICAL RESPONSIBILITY: This job has no supervisory responsibilities. Position serves as a technical resource throughout the District in answering questions and guiding others regarding accounts payable issues.
CONTACTS: Daily contact with persons in same work unit or building, other departments/buildings, vendors or suppliers and general public to resolve problems or negotiate matters. Daily contact with banks to maintain relationships.
SAFETY TO SELF AND OTHERS: High exposure to self to repetitive motion or stress and loss of sight, due to extensive key boarding and use of CRT.

WORK ENVIRONMENT: While performing the duties of this job, the employee is occasionally exposed to moving mechanical parts and risk of electrical shock. The noise level in the work environment is usually quiet.
MENTAL FUNCTIONS: While performing the duties of this job, the employee is regularly required to compare, analyze, communicate, coordinate and use interpersonal skills. The employee is frequently required to compute, synthesize, negotiate and evaluate. The employee is occasionally required to copy, instruct and compile.
JUDGMENT AND DECISION MAKING: Work is assigned by District management, federal and state laws/requirements, and negotiated agreements. This position requires analytical ability to define problems, collect data, establish facts and draw valid conclusions. Errors in decision making could lead to audits/investigation by outside agency, loss of funding/reimbursement to District, failure to meet payment date, loss of public confidence, and lawsuits. Decision making requires collaboration with management, persons in other departments/buildings, students, parents, vendors/suppliers and government. Work is guided by legal requirements, District policies and procedures, and common sense.
DIVERSITY OF DUTIES: Requires cross training in other areas of the department such as: utilities, mileage reimbursement, travel reimbursements, 1099 payments, petty cash, contracted services, blanket orders, food service, direct payments, purchase order payments, and compiling reports. Position utilizes a variety of software packages and systems. This position requires independent thinking and ability to apply/interpret accounting policy and regulations.
