Job description
Oversees financial and inventory functions that support the Fine Arts department.
- Processes requisitions, check requests, Purchase Card transactions, and mill levy/bond money transactions to purchase supplies & equipment for the Fine Arts Dept.
- Monitors expenditures to ensure budget guidelines and policies are followed.
- Receives incoming supplies and equipment verifying accuracy of items by comparing to invoice, purchase order, and/or bid specifications.
- Ensures all orders are received as ordered, recording any discrepancies, and following up with appropriate vendor or requestor to resolve all discrepancies, which may include retuning times that are damaged or shipped in error.
- Distributes items received according to department procedures and assists with updating and maintenance of department inventory system.
- Ensures that records and accounts are balanced for periodic audits as well as year-end audits and closure.
- Monitors accounts and budget, providing monthly, semi-annual, and annual reports as necessary.
- Assists with annual preparation of department budget.
- Prepares payroll timesheets, stipend time sheets, contracted service agreements, and employee leave slips.
- Monitors supplies in Common Area and re-orders as needed.
- Develops and maintains a filing system.
- Provides word processing support for district Fine Arts events as needed.
- Effective communication skills, both verbal and written.
- Flexibility, organization, decision-making and problem solving skills.
- Interpersonal skills with diverse populations in-person and on the telephone.
- Ability to meet deadlines and work on multiple projects.
- Computer, business English and basic mathematics skills.
- Knowledge of word processing, database and spreadsheet software.
- Two years of experience in shipping/receiving and inventory control.
- Bookkeeping/accounting skills.
- High School Diploma or GED.
- Two years of related experience.
- Knowledge of musical instruments.
