Minimum Education/Training/Experience
High School Diploma or GED; experience working in a box office, clerical, or customer service environment.

Preferred Education/Training/Experience
Associate degree or higher; two or more years working in a box office; experience with reservation and ticketing software; evidence of positive customer relations.

Minimum Knowledge & Skills
Proficient in Outlook, Word, basic financial and attendance reporting; skilled in writing and editing in English. Able to respond efficiently and pleasantly in a fast-paced environment.

Preferred Knowledge & Skills
Skills in cash handling, creating marketing materials, editing/layout; knowledge of theatre terminology and performance protocols; ease with brochure and program formatting. Willingness to represent COM Theatre always in a positive manner to the public.

Job Duties
1) Manage all seating and ticket sales including season tickets, group sales, ticket exchanges, comp tickets, at-door sales, on-line reservations, and phone sales. Tickets are on sale year-round.

2) Input all reservations into our ticketing software and print tickets and receipts.

3) During all performances run the Box Office for at-door sales and reservation pickups, act as House Manager, manage intermission, and run nightly performance reports.

4) Handle all incoming calls and respond promptly to phone messages, on-line ticket requests for help, and emails.

5) Financial: Manage daily deposit transmittals for cash/checks and take to cashier in Business Office. Manage daily income report and receipts for reconciliation. Manage weekly credit card transactions from STRIPE and send reports to Controller. Maintain accounting records of deposits and verify deposits using Colleague. Responsible for compliance with COM policies and procedures and compliance with auditor for money handling procedures. Take proper steps to keep all confidential credit card information safe.

6) Manage and keep items needed for archival purposes: programs, Front Row newsletter, cast contact sheets, season brochure and season mailing information.

7) Manage and maintain records for all shows and season ticket sales.
8) Keep voice message up to date with each new show information.
9) Submit web requests throughout the year to keep website updated: request to change each show for on-line ticket sales, update season information and any other instances where the website needs to be updated when changes are made.
10) Change out signage in Theatre Lobby for each show.
11) Produce and proof program for each show; submit to COM Theatre Artistic Director and Fine Arts Department Chair for additional proofing.
12) Maintain and keep mailing lists up to date: season subscribers, brochure, and Front Row newsletter.
13) Coordinate season brochure information and mailing.
14) Manage Marketing requests for season ticket mailing: coupons, open pass, season ticket envelope, season invoice envelopes & postage paid envelopes and request for lobby posters.
15) Coordinate and Print season renewal invoice cover letter.

16) Generate season renewal invoices for mailing.
17) Prepare season ticket packages for mailing.
18) Responsible for proposed season dates, season work calendar and monthly calendar of performances.
19) Manage donations to organizations’ requests for fundraiser items.
20) Manage and coordinate with COM Foundation incoming season subscriber donations: donations via check are taken to COM Foundation which includes a list of donor names, addresses, phone numbers, email addresses and donation amount. Credit card donations are input online on the COM Foundation website.
21) Process monthly invoices for ticketing software for payment.
22) Order supplies as needed for the Box Office, such as reservation envelopes, ticket stock as needed.
23) Keep up with ticketing software enhancements and updates.
24) Create sign-up sheets for each show on the season for ushering – tracking of theatre majors and their ushering responsibilities. Track and maintain list of Theatre majors / Theatre students who attend as DRAM course requirements.

25) Manage refreshments: includes setting up coffee bar before each performance (making reg/decaf and hot water for tea/cider/hot chocolate), cleaning up coffee bar after intermission which includes record keeping of coffee donations, washing coffee & pump pots, and locking up supplies, shopping for supplies, and deposit of coffee donations to Mark Adams Fund.
26) Contact all patrons when a performance or show is cancelled.
27) Keep season subscribers informed via emails about shows.
28) Survey season subscribers about potential changes to get their input; compile results into documents with summaries.
29) Work with COM Theatre Artistic Director for promotional and marketing ideas for upcoming productions.
30) Promote and Manage PR for current productions on Mainstage on the COM Theatre Facebook page.
31) Seek out, package, and promote special group rates and targeted group audiences per each production on the Mainstage.
32) Set up each season in VBO ticketing software which includes setting up all performances, ticket pricing, times, sale date range, season packages (reserved seating & open pass for 5-show & 4-show season), graphics, and show descriptions.
33) Train and supervise Box Office Assistant; meet and work with COM Theatre Volunteers.

34) Due to the location, be helpful to campus community members and visitors who need directions or information about Fine Arts and other campus areas. Be aware of Fine Arts contacts for recruitment purposes. Maintain awareness of current Art Gallery shows and promote for pre-show and intermission.
35) Perform other duties as appropriate to position.

Physical Requirements
Work is performed in a typical interior/office work environment.
Standing and/or using stairs in the Theatre is required for at least 30 minutes prior to show time.
