Position Summary:

The Group Operations Coordinator is responsible for processing all group orders received. They are responsible for converting them into bookings in our internal reservation system, generating confirmation letters and promotional materials for group clients as well as activating individual group websites and online sign up forms and communicating the information to the customers.

Primary Functions:

• Block all sales orders completed in sales system into the central reservation system
• Regularly communicate with outside sales team to ensure order accuracy
• Edit and update group bookings in the reservation system to reflect individualized selections for each order
• Proof and QC all rates, components, offers, and other items included in group promotions
• Accurately generate each accounts confirmation letters – reflecting agreement and terms between Collette and client
• Generate, edit, and format promotional materials for groups to use
• Work with product team to request additional tour components not included on standard package
• Activate promotional websites for individual groups and online sign up forms
• Edit group shell booking with any updates made after group has begun promoting
• Amend and resend confirmation letters to accounts for any changes made to agreement after booking
• Update reservation and promotional materials related to tour or itinerary changes
• Move group reservations to new departure dates in reservation system as requested by clients
• Set, restrict and audit commission levels for bookings based on established agreements
• Answer all phone calls related to confirmation letter or flyer questions from clients or internal customers
• Convert generic bookings to live departures when tours become released for sale
• Communicate with customers in a professional and timely manner on enquiries related to above responsibilities
• Liaison with marketing on group flyer images and itineraries
• Work with air pricing team to request deviated or special air gateway pricing
• Other duties as assigned

Knowledge and Skills:

• Ideal candidate must be detail oriented and able to work in a fast paced environment
• Must be willing to learn and have positive attitude
• Ideal candidate has knowledge of Outlook and basic Excel knowledge

Job Type: Full-time

Pay: From $19.00 per hour
