Position Reports To (Title)
Director of Payroll, Budget, and Fiscal Operations
Scope of Position
The purpose of this position is to prepare and examine financial activity and reports, ensuring that financial records are accurate and completed in a timely manner in accordance with generally accepted accounting procedures.
Key Measurable Expectations
PAYROLL
- Receive data from Human Resources, perform calculations on adjustments to pay, process timesheets, payroll deduction data, verify and balance payroll input;
- Process and balance direct deposits, annuities, SURS report, FICA-Medicare deductions, check requests, and journal entries;
- Balance calendar year to date deduction payments, process W-2’s and distribute;
- Prepare Federal Income Tax, State Income Tax and wage report for the Illinois Department of Employment Security quarterly.
CASH DISBURSEMENTS / ACCOUNTS PAYABLE
- Review and process invoices;
- Maintain files and review.
JOURNAL ENTRIES
- Prepare and review monthly, correcting and adjusting journal entries.
MONTHLY / FISCAL CLOSING
- Balance subsidiary journals with the general ledger and verify balances of interfund accounts;
- Update budgets for non-fixed restricted accounts;
- Distribute monthly reports, assist in preparing financial reports and assist auditors.
BUDGET
- Review budgets, enter data, and verify.
EMPLOYEE BENEFITS
- Assist with employee benefits, process invoices, account distribution and grant reports;
- Compare budgets with actual costs.
GRANTS AND GENERAL ACCOUNTING
- Maintain records, prepare billings and analyze revenue and expenditures of contracts;
- Prepare internal report for grants with various fiscal years that do not coincide with the college’s fiscal year;
- Calculate and charge indirect costs. Prepare financial reports, as necessary, for granting agencies; State, Federal, and Local government.
FINANCIAL REPORTING
- Collect and prepare data to meet various reporting requirements of State, Federal and Local Government;
- Assist in financial responsibilities for related organizations, including cash receipts, disbursements, investment reconciliation, budgeting and board meeting attendance.
STUDENT SERVICES - Assist department team members in payment collection and federal award administration as needed;
- Coordinate resolution of student system issues; attend regular meetings on related topics;
- End of the year Federal reporting.
UNIT COST - Collect and prepare unit cost data.
Minimum Qualifications:
- Associate’s Degree with a major in Accounting, Business, Finance or related field.
- Two year’s of related experience.
- Proficiency with 10-key Touch.
- Data entry accuracy.
- General business knowledge.
- Technology skills, including experience with spreadsheets and word processing.
- Analytical abilities.
- Communication skills.
