Position: Accounts Payable/Recievable Specialist - Person Centered
Responsible to: Human Resources Administrative Director
Responsible for: Under limited supervision assists the Human Resources Administrative Director and the Executive Director with maintaining the day-to-day financial and administrative/operational responsibilities for Napa Valley Support Services to include but not limited to: Vehicle and program maintenance, ensures adequate administrative and program supplies, manages accounts receivable and payable to ensure accurate financial statements monitoring to required completion, and communicating, collaborating and problem solving in conjunction with agency staff and NVSS Accountant.
Hours: Monday through Friday, 8 hours per day with flexible starting time between 7:00 AM & 8:00 AM. Must be willing to work overtime when necessary.
Status: Non-Exempt position Hourly Wage: $24.00 – 24.50 per hour
ESSENTIAL FUNCTIONS
Finance
- Utilizes Quickbooks accounting system for all financial processes.
- Records and deposits accounts receivables timely.
- Records and pays invoices timely.
- Downloads accounts payable to banking site (positive pay) to ensure accurate payment.
- Reviews notices from banking site (positive pay) and approves as appropriate.
- Works with NVSS Accountant to ensure accurate recording of financial information.
- Monitors NVSS bank statement and communicates information to appropriate positions.
- Records and tracks grant information and payments.
- Maintains donor database for financial and in-kind donations.
Facility and Vehicle Maintenance
- Assists with facilities maintenance by scheduling and researching sources for specific needs.
- Assists maintenance and management for agency vehicles by updating database and scheduling services as needed.
Administrative
- Assists with answering incoming calls; screen and direct calls.
- Assists with managing the daily calendar as needed.
- Assists with logistics for large meetings as necessary (ordering food, room set up, etc.).
- Orders office supplies as needed/requested.
- Receives and sorts mail and handles deliveries.
- Ensures confidential storage of archived records and adhere to records retention policy.
- Prepares letters and documents as appropriate.
- Maintains administrative and accounting files.
- Assists with transcribing minutes from Board related committees and post to Board Network.
Other Expectations
- On behalf of the Agency, act as a guardian for a pleasant working environment by being courteous and interacting positively with everyone during work hours.
- Follow the Mandated Reporter requirements by immediately communicating concerns of abuse to the supervisor, Director or the Obudsman.
- Work independently, prioritizes work to meet deadlines, problem-solve a wide range of routine to semi-complex operational problems.
- Use complex computer literacy including database software, internet software and spreadsheet and word processing ability.
- Work collaboratively to establish positive working relationships.
- Ability and willingness to drive personal vehicle for errands, trainings, and to/from agency locations.
- Provides assistance for the people NVSS supports/classes whenever necessary.
- Interacts well with individuals supported by NVSS.
- Promote a Person-Centered environment by ensuring simple written communication is understandable to everyone.
- Ability to multi-task while meeting efficiency of assignments.
- Performs other duties and special projects as assigned.
Education
Prefer Associates’ degree in Finance, Business Administration or related field; or a combination of education and one year of experience in an accounting/office environment.
Experience
- Experience working with QuickBooks.
- Minimum of one year of experience in finance or combination of experience and education.
- Computer literacy including database software, internet software and Microsoft Office Products.
- Demonstrated organizational problem solving and common-sense skills.
- Demonstrated organizational reasoning, and analytical skills.
- Ability to work independently with minimal supervision.
Physical Requirements
- Employee may experience the following physical demands for extended periods of time:

- Lifting up to 25 pounds
Work Environment
Work is performed in a business office environment with limited privacy and exposure to noise from others conducting business.
