The Northeast Missouri Regional Professional Development Center mission is to build the capacity of educators and schools to maximize student performance through high-quality professional development. The Center is part of DESE’s State-wide System of Support and is totally grant-funded. It is located on the campus of Truman State University.

Administrative Assistant I – Budgets

JOB DESCRIPTION:

This is a 12-month, full-time position. The primary responsibility of this position is working with the 22 budgets within the NE RPDC grant and preparing and submitting quarterly and end-of-year invoices—as well as other invoices throughout the year—to the Department of Elementary and Secondary Education (DESE). This position works closely with the Truman Business Office, as well as DESE.

RESPONSIBILITIES:

In addition to the DESE budget responsibilities mentioned in the job description above, the following are also responsibilities of this position:

· act as internal auditor of all NE RPDC revenues and expenditures,

· track all expenditures throughout each fiscal year for each budget,

· invoice and receive payments from school districts,

· process expense reports,

· type/submit requisitions,

· order supplies – office and workshop,

· check monthly back-charges,

· purchase with a P-card,

· reconcile the P-card statement,

· make travel arrangements for multiple staff (mainly hotel/motel reservations)

· pay for staff conference fees, etc.,

· work with DESE personnel, University personnel, and school district personnel,

· work extensively with Excel, Word, Adobe Acrobat Pro, and Banner—Truman’s financial system

· process and submit all forms and documents in a timely manner [essential], and

· other responsibilities as assigned.

REQUIRED QUALIFICATIONS:

· high school diploma

· bookkeeping experience or administrative assistant experience

· excellent computer skills

· excellent interpersonal and communication skills

· strong organizational and problem-solving skills

· ability to meet established deadlines

· ability to work independently

· ability to work with diverse entities

PREFERRED QUALIFICATIONS:

· some college or technical training

· experience in an educational setting

· experience with Microsoft Word and Excel

· experience with Adobe Acrobat Pro
